General Ledger permissions

General Ledger permissions control who has access and visibility General Ledger functionality.

When a new feature is added, you typically need to assign permissions to users. This allows you to control access of who can use those new features.

A user's effective permissions can be influenced by other factors, such as their user type, role, and admin privileges. Learn more about user types and permissions.

Journal entries

  • List: Displays a list of journal entries. Also, users can view transactions to see journal transaction records.

  • View: Provides a read-only view for journal entry records. Users can see information, such as transaction and history details. Requires the List permission.

  • Add: Allows users to add journal entry transaction records. Additionally, users can post, duplicate, and add attachments to journal entry records. Requires the List permission.

  • Edit: Enables users to change journal entry details except for the transaction number, books, journal, and history information. Requires the List permission.

  • Delete: Users can delete journal entry transaction records. Requires the List permission.

  • Reclass: Allows users to reclassify journal entry transaction records and update transaction details. Requires the List, View, and Edit permissions.

  • Reverse: Enables users to reverse journal entry transaction records. Requires the List permission.

Adjusting journal entries

To provide access to the Adjusting activity on the General Ledger menu, assign the Adj journals List permission.

  • List: Users can view a list of adjustment journal entry transaction records. Requires the Adj journals List permission.

  • View: Provides a read-only view for adjusting journal entry records. Users can see transaction and history details. Requires the List permission and Adj journals List permission.

  • Add: Allows users to add adjustment journal entry transaction records. Additionally, users can post, duplicate, and add attachments to adjustment journal entry records. Requires the List permission and Adj journals List permission.

  • Edit: Enables users to change adjusting journal entry details except for the transaction number, books, journal, and history information. Requires the List permission and Adj journals List permission.

To provide access to the Statistical adjusting activity on the General Ledger menu, assign the Statistical adj journals List permission.

  • Add: Allows users to add tax adjustment journal entry transaction records. Additionally, users can post, duplicate, and add attachments to tax adjustment journal entry records. Requires the List permission.

  • Edit: Enables users to edit tax adjustment journal entry transaction records that are in the Draft state. Users can change transaction information except for transaction number, books, journal, and state. Requires the List permission.

  • Delete: Users can delete tax adjustment journal entry transaction records. Requires the List permission.

Assign Recurring journal entries permissions to enable users to list, view, add, edit, and delete memorized transactions.

Approve journal entries

  • List: Allows users to approve and decline journal entry transactions.

    Also, users can view and edit transaction and history information but cannot change the transaction number, state, or history details.

Books

  • Open: Allows users to open books for entities and entity groups. Users can select the beginning period to open books.

  • Close: Enables users to close books for entities and entity groups. Users can select the end period for closing books.

  • Lock closed periods: Enables users to lock closed statutory reporting periods so that they cannot be reopened. This ensures that records for the period do not change, and so remain in agreement with reports you produce for the period.

    This permission appears only if you Configure General Ledger to enable locking of closed periods.

    For Management console users, this permission can't be assigned in the console. It needs to be assigned to the user in each entity separately.

To open a subledger, assign an application's Summaries List and Open permissions.
For example, to open an AR subledger, assign the Summaries List and Open permissions from the Accounts Receivable application.

User-defined books

  • List: Displays a list of user-defined books.

  • View: Users can see book information, such as the book ID and description details.

  • Add: Allows users to add user-defined books used in management reporting.

  • Edit: Enables users to change the description of book information.

  • Delete: Users can delete user-defined books.

Accounts

  • List: Displays a list of General Ledger accounts.

    Assign the General Ledger Run permission so that users can drill down to General Ledger reports.

  • View: Provides a read-only view for GL account information. Requires the List permission.

  • Add: Allows users to add GL accounts. Requires the List permission.

  • Edit: Users can update GL account information except for the account number. Requires the List permission.

  • Delete: Enables users to delete GL accounts. Requires the List permission.

Account title by entity

  • List: Displays a list of account title by entities.

  • View: Users can see account title by entity information, such as the entity ID, account number, and account title for entity details. Requires the List permission.

  • Add: Allows users to add account title by entities. Requires the List permission.

  • Edit: Enables users to update account title by entity information, such as the entity ID, account number, and account title for entity details. Requires the List permission.

  • Delete: Users can delete account title by entities. Requires the List permission.

Statistical accounts

  • List: Displays a list of statistical accounts.

    Assign the General Ledger Run permission so that users can drill down to General Ledger reports.

  • View: Provides a read-only view for statistical account information. Requires the List permission.

  • Add: Allows users to add statistical accounts. Requires the List permission.

  • Edit: Users can update statistical account information except for the account number. Requires the List permission.

  • Delete: Enables users to delete statistical accounts. Requires the List permission.

Account groups

Account groups permissions control the Account groups, Account group purposes, and Dimension structures features.

  • List: Displays lists of account groups, account group purposes, and dimension report structures.

  • View: Users can see information for account groups, account group purposes, and dimension report structures. Also, users can view account groups hierarchy reports. Requires the List permission.

  • Add: Allows users to add account groups, account group purposes, and dimension report structures. Requires the List permission.

  • Edit: Enables users to update account group and dimension report structure information except for the name and structure type. Additionally, users can change account group purpose information. Requires the List permission.

  • Delete: Users can delete account groups, account group purposes, and dimension report structures. Requires the List permission.

To see financial reports for account groups and dimension report structures, assign the Financials List permission. Requires the List permission.

To see financial graphs for account groups, assign the Graphs and performance cards List permission. Requires the List permission.

To see members for dimension report structures, assign a dimension List permission. Requires the List permission.
For example, to see members for Location report structures, assign the Locations List permission from the Company application.

Assign the Financial permissions and Graphs and performance cards permissions to enable users to list, view, add, edit, and delete financial reports and graphs.

Budgets

Budget permissions control the Budget and Budgets repository features.

  • List: Displays the Budget Report page and Budgets Repository list, which users can see budget details. Users can view, customize, print, process and store, email, and export budget reports.

  • View: For budgets repository, users can view budget information, such as the budget ID, description, and default budget. Requires the List permission.

  • Add: Allows users to add a budgets repository and set a default budget. Requires the List permission.

  • Edit: For budgets repository, users can change budget information, such as the description and default budget. Requires the List permission.

  • Delete: Enables users to delete a budgets repository. Requires the List permission.

To memorize reports, assign the Memorized reports List and Add permissions from the Company application. Requires the List permission.

Journals

  • List: Displays a list of journals.

  • View: Users can see journal information, such as the symbol, title, and status details.

  • Add: Allows users to add journals. Additionally, users can select Enable project billing flag.

  • Delete: Enables users to delete reporting periods. Requires the List permission.

Transaction templates

  • List: Displays a list of transaction templates.

  • View: Provides a read-only view for transaction template information. Requires the List permission.

  • Add: Allows users to add transaction templates. Requires the List permission.

  • Edit: Enables users to edit transaction template information except for the template ID. Requires the List permission.

  • Delete: Users can delete transaction templates. Requires the List permission.

To access the New and Transactions links, assign the Post templates List and Add permissions. Requires the List permission.

Revenue recognition schedule

  • List: Generates the Manage Revenue Schedules page. Assign the List permission so that users can edit revenue recognition schedule details from the Accounts Receivable and Order Entry applications.

  • Edit: Allows users to update revenue recognition schedule details, such as the posting dates and amounts. Requires the List permission.

The Manage revenue schedules activity appears on the Accounts Receivable and Order Entry menus but not on the General Ledger menu. You can assign permissions, such as the AR Invoices List permission or the OE Customers List permission, to access the Manage revenue schedules activity on a menu.

Revenue recognition category

  • List: Displays a list of revenue recognition categories.

  • View: Users can view revenue recognition category information, such as the name, description, and status. Requires the List permission.

  • Add: Allows users to add revenue recognition categories. Requires the List permission.

  • Edit: Users can update revenue recognition category information, such as the description and status. Requires the List permission.

  • Delete: Enables users to delete revenue recognition categories. Requires the List permission.

Multi-currency processing

  • Enable: Allows multi-currency processing in multi-currency companies.

Drill down to all transactions from reports

  • Enable: Allows users to drill down to report amount links and see related transaction details. Requires the Financials List and View permissions.

Restriction release

  • List: Displays the Restriction release list.

  • View: Provides a read-only view for restriction release details.

  • Generate: Allows users to release restricted funds that have met release requirements.

  • Delete: Enables users to delete a restriction release.

  • View: Users can view General Ledger graph details, change how they view a graph, and print a graph report. Requires the List permission.

  • Delete: Enables users to delete financial graphs and performance cards. Requires the List permission.

General Ledger

Location activity report

  • Run: Generates the General Ledger Location Activity report. From the report, users can view, print, process and store, email, and export reports.

Deferred revenue forecast

  • Run: Generates the Deferred Revenue Forecast report. From the report, users can view, print, process and store, email, and export reports.

  • Run: Generates the Deferred Revenue Forecast graph. From the graph, users can view, print, process and store, and email reports.

The Forecast graph activity appears on the Accounts Receivable and Order Entry menus but not on the General Ledger menu. You can assign permissions, such as the AR Invoices List permission or the OE Customers List permission, to access the Forecast graph activity on a menu.

Deferred revenue details

  • Run: Generates the Deferred Revenue Details report. From the report, users can view, print, process and store, email, and export reports.

The Details activity appears on the Accounts Receivable and Order Entry menus but not on the General Ledger menu. You can assign permissions, such as the AR Invoices List permission or the OE Customers List permission, to access the Details activity on a menu.

Deferred revenue revaluation report

  • Run: Generates the Deferred Revenue Revaluation report. From the report, users can view, print, process and store, email, and export reports.

The Revaluation activity appears on the Accounts Receivable and Order Entry menus but not on the General Ledger menu. You can assign permissions, such as the AR Invoices List permission or the OE Customers List permission, to access the Revaluation activity on a menu.

General Ledger revaluation report

  • Run: Generates the General Ledger Revaluation report. From the report, users can view, print, process and store, email, and export reports.

Variance analysis

  • Run: Generates Sage Copilot Variance Analysis.

GL regularization account reclassification report

  • Run: Generates the General Ledger regularization account reclassification report. From the report, users can view, print, process and store, email, and export reports.

Lettrage

For companies or entities with the operation country set to France.

  • Run: Generates the Lettrage page so that users can manually match corresponding debit and credit transaction lines using an assigned lettering sequence.

Lettrage activity

For companies or entities with the operation country set to France.

  • Run: Generates the Lettrage activity report so that users can view matched, unmatched, or all activity.

DATEV export

For companies or entities with the operation country set to Germany.

  • Run: Allows users to securely exchange financial and accounting data between different software applications.

GoBD export

For companies or entities with the operation country set to Germany.

  • Run: Users can provide an on-demand response to German tax authority requests.

Account numbers

These permissions are available if the Allow changes to account numbers, including length option is selected on the Configure General Ledger page.

Permission Options

Financial account numbers

  • Edit: Allows users to change financial account numbers.
