Add, edit, and delete attachment folders

Attachment folders store attachments that you upload. Attachment folders serve as the organizational basis for your attachments. For example, if your company has many projects, you could make an attachment folder for each project. Then, when you add an attachment to a project transaction or record, store the attachment in the folder associated with the correct project, making your attachments easy to find and maintain.

Add attachment folders from the Attachment Folders list or during the process of adding an attachment to a record. If you’re setting up a comprehensive folder system with naming conventions, create the hierarchy for your attachment folders from the Attachment folders list before you begin adding and storing attachments.

Add an attachment folder

Add attachment folders from the Attachments Folders list to set up your folder hierarchy and organization.

  1. Go to Company > Setup > Storage, then select Add (circle) next to Attachment folders.
  2. Enter a Name for the folder.
  3. Optionally, enter a Description of the folder.
  4. Optionally, select a Parent folder in which to save your new folder.
    To make the folder either a top-level folder without children, or a parent folder with child subfolders, leave this field blank. If you want the folder to be a child subfolder of a parent folder, select the dropdown list to select the folder you want to become the parent of this child subfolder.
  5. Select Save.

Add an attachment folder from a record page

If you do not have an attachment folder for your attachments, or you need to make a new one, create an attachment folder from a record page.

  1. Find an existing or create a new record to which you want to add an attachment.
  2. On the record page, select the Attachments dropdown, and select Add.
  3. Enter a Name for the folder.
  4. Optionally, enter a Description of the folder.
  5. Optionally, select a Parent folder in which to save your new folder.
    To make the folder either a top-level folder without children, or a parent folder with child subfolders, leave this field blank. If you want the folder to be a child subfolder of a parent folder, select the dropdown list to select the folder you want to become the parent of this child subfolder.
  6. Save the new folder.
  7. Add attachments.
  8. Select Save.

Edit an attachment folder

  1. Go to Company > Setup > Storage > Attachment folders.
  2. Find the Attachment Folder that you want to edit.
  3. Select More actionsEdit at the end of the row.

  4. Make your changes.

  5. Select Save.

  1. Go to Company > Setup > Storage > Attachment folders.
  2. On the Attachment Folders list, find the folder you want to edit and select Edit.
  3. Enter changes as needed on the Attachment Folder page.
  4. Select Save.

View attachment folders

You can view a list of attachment folders or the details of a particular attachment folder.

  1. Go to Company > Setup > Storage > Attachment folders.
  2. Find the attachment folder that you want to view.
  3. Select More actionsView at the end of the row.

  4. Optionally, select Subfolders to display a list of all subfolders for the selected folder.  
  5. Optionally, select Attachments to display a list of all the attachments within the selected folder.
  1. Go to Company > Setup > Storage > Attachment folders.
  2. Find the attachment folder that you want to view in more detail, and select View
  3. Optionally, select Subfolders to display a list of all subfolders for the selected folder.  
  4. Optionally, select Attachments to display a list of all the attachments within the selected folder.

Delete an attachment folder

When you delete an attachment folder, all its subfolders and attachments are deleted as well. Deleted records cannot be restored.

  1. Go to Company > Setup > Storage > Attachment folders.
    When you access the list from the top level, you initially only see records created at the top level. To see records created within entities, select Filters and then select Include entity records. Select Apply to update the filter.
  2. Find the folder that you want to delete.
  3. Select More actions > Delete at the end of the row.

  4. Select OK.
  1. Go to Company > Setup > Storage > Attachment folders.
  2. Find the folder that you want to delete, and then select Delete.
  3. Select OK.

Field Description

Name

Enter the name of the attachment folder.

Description

Enter a description to help you identify the attachment folder.

Parent folder

Optionally, select a folder in which to save your folder.
