Edit contact information used in a transaction

Edit contact information from a transaction during creation

When you edit contact information used in a transaction, you only edit the information for that transaction and future transactions. If you want the same changes to apply to existing transactions, manually update the contact information in that record as well.

To edit contact information during the creation of a transaction:

  1. In the new transaction record, select the dropdown arrow in the contact field to view contacts.
  2. Find and highlight the contact that you want to edit.
  3. Select View.
  4. In the Contact information window, select Edit.
  5. Make your changes.

  6. The Suggested contact name is a unique ID used across the system by various records. It can't be changed after creation. The Print as name is the text that appears on printed documents and transactions.
  7. Select Save.

Edit contact information in an existing transaction

To edit the contact information used in an existing transaction, you may have to reverse the transaction and recreate it. Whether you can edit or reverse a transaction depends on the transaction type, the state of the transaction, and your permissions.

You can only edit information in transactions that are still open. If the transaction is part of a closed period, you must open the books to make any changes. See Open and close process overview for more information.

To edit contact information in an existing transaction:

  1. Go to the transaction list page.

  2. Find the transaction with contact information that you want to edit.

  3. Select More actionsEdit at the end of the row.

    If you cannot edit the transaction, first Reverse the transaction, and then Edit it.

    You can only edit transactions from where they were created. For example, if you create a PO purchase invoice in Purchasing, you cannot edit the corresponding AP purchase invoice in Accounts Payable. Instead, edit the PO purchase invoice from the PO purchase invoice list in Purchasing.
  4. Select the dropdown arrow in the contact field.

    For example, select the dropdown arrow in the Pay to field or Return to field of a bill.

  5. Select the name of the contact that you want to edit.

  6. Select View.

  7. In the Contact information window, select Edit.

  8. Make your changes.
