Field descriptions: Printed document templates

The following tables describe fields on the Printed document templates list and the Printed document template page to help you understand how to use them.

Field Description
Edit

Edit any field on your printed document template record. You can also re-upload your document template Word file after you edit it.

You cannot edit an Intacct sample template, but you can export one to use as a starting point. Edit it in Word and then re-upload it to Intacct to a new or existing printed document template record.

View View your printed document template record in the Printed document template page. See field descriptions below.
Template name Find or sort by Template name to find your printed document template record easily.
Application Find or sort by Application to view printed document template records by application area.
Template type Find or sort by Template type to view printed document template records by the kind of transaction for which they’re used.
Default template Indicates which document template records are used as default templates. The record creator sets this field. It does not update automatically based on your configuration.
Document owner Displays the user who created the document template record.
Duplicate Duplicates the printed document template record. Be sure to change the Template name of the record and upload a corresponding document template Word file.
Template Exports the Word file of the selected printed document template record to your local machine. You can export sample templates from Intacct to use as a starting point for your printed document templates. You can also export and fine-tune existing document templates you have already created.
Modified date Displays a date and time at which the printed document template was last edited. You also sort or find by this field.
Delete Delete the printed document template record permanently. You cannot delete the Intacct sample templates.

Printed document template page field descriptions
Field Description
Template name The name of the printed document template record. This name must be unique, and it appears in document template selection lists.
Description A meaningful description of the printed document template record.
Locale The native language in which the printed document template was created in Word.
Default template

You can select this checkbox to remind yourself which templates you’ve assigned in your transaction definitions or AR configuration.

Secure PDF Select this checkbox to make the output file for this template a secure PDF. Secure PDFs ensure the accuracy and security of electronically transmitted information. The printed PDF has 128-bit encryption. No actions other than printing are allowed, including editing, signing, copying, extracting, or commenting.
Application

The application in which the printed document template will be used. The following options are available to select.

  • Accounts Receivable
  • Inventory Control
  • Order Entry
  • Purchase Orders (Purchasing)
Template type

Select the type of transaction to which you want to associate the printed document template.

For Order Entry, Purchasing, or Inventory Control, options are: Quote, Order, List (typically only associated with receipts or shippers), Invoice, Adjustment, or Other (typically only used for Inventory Control adjustments).

For Accounts Receivable, options are: Invoice, Statement, or Dunning notice.

Include custom fields This option appears when you select Statement as the Template type. Select this option if your document template includes custom fields, so that Intacct knows to preprocess those merge fields.
Set up field preferences Set up your field preferences for each application.
Upload template Select Choose File and go to the location where the document template is stored on your machine.
