Example Permissions report for all users—CRW

Business users with Admin permissions can create a permissions report for all users with Custom Report Writer (CRW). This report allows you to review permissions across all users with ease, and simplifies compliance with regulatory requirements. The information in this report can be exported to other programs, such as Excel, for analysis.

Console access users, also known as external users, are not included in this report.

This example of a permissions report is for all direct users. You must have the correct permissions to be able to run this report.

Access the custom report writer

To create this permissions report, you need the following:

  • Business user permission
  • Full administrator privileges
  • Access to Custom Report Writer.
  1. Go to Reports > All > Advanced and select Add (circle) next to Custom reports.

Create a permissions report for all direct users

Custom Report Writer Wizard (CRWZ) has more steps than are shown in this section. The extra steps have no relevance for this report and can be skipped. For more information on other steps, see Custom Report Writer Wizard.
Console users, also known as external users, are not included in this report.

 

  1. Open Custom Report Writer (CRW).
  2. In Select a primary data source, choose User Permissions from the dropdown menu.
  3. In Add columns, select the following columns in these sections:
    User Permissions
    • Application: the application that the user has access to
    • Created by: the person who gave the user access, references the User Key
    • Policy: Which aspect of the Application the user has access to
    • Rights: the type of rights the user has for the Application and Policy
    • User key: a number assigned to individual users in the database
    • When created: When the user permission was created
    User
    • Status: Status of the user within Intacct
    • User ID: The ID of the user within Intacct
    • Username: The full name of the user
  4. In Select column sequence, drag and drop the columns into the following order:

    • User ID
    • Username
    • User key
    • Status
    • When created
    • Created by
    • Application
    • Policy
    • Rights
  5. In Sort Columns, drag and drop User ID to the top of the list. The column in the first position is sorted first, the next column down is sorted within the first, and so on.
  6. In Save and add to a menu, enter a unique report name, and select Save.

    Optionally, to add your report to a menu, select Add to menu. Then, select the application to add the report to from the dropdown menu.

View or export the permissions report

After saving the permissions report, you can run or export the report from the Custom reports list. Go to Reports > All > Advanced > Custom reports.

Run a report

  1. Open CRW.
  2. Select the name of your report.
  3. Choose any filters for the report.
  4. Select View.

    The report opens in the browser.

Export a report

  1. Open CRW.
  2. Select Run next to the name of the report.
  3. Select a file format for export from the dropdown menu. You can choose from CSV, Excel, or XML.
  4. Select OK
