Manage users—Sage Intelligent Time

The following information only applies to companies that do not use Intacct credentials to log in. SIT now offers the convenience of using Intacct credentials to log in, eliminating the need for creating separate accounts, sending invites, and managing users in SIT. If you’re interested in making the switch to using Intacct credentials, contact your account manager.

If you have the role of Admin or Manager in Sage Intelligent Time (SIT), you can go to Profile ("")> Time preferences > Manage users to invite new users and manage existing users of SIT.

SIT users are distributed across tabs at the top of the Manage users page:

  • All users: A list of all users of SIT.
    This tab displays a user's:
    • name
    • email
    • status
    • employee ID
    • location
    • department
    • SIT role
  • Active users: A list of active users of SIT. This tab displays a user's name, email, employee ID, location, department, and SIT role.
  • Invitations: A list of people who have been invited to use SIT. This tab displays a user's name, email, employee ID, location, department, and SIT role.
  • Inactive users: A list of users who have been deactivated by a SIT admin or manager. This tab displays a user's name, email, employee ID, location, department, and SIT role.
  • Not invited: SIT has access to employee information from your Intacct company. This tab contains a list of Intacct employees in your company who have not been invited to use SIT yet. This tab displays a user's name, email, employee ID, location, department, and SIT role.

Invite users

You can invite any employee that's associated with Projects and Time in your Intacct company to use SIT.

To invite people to use SIT using the All users tab:

  1. Go to Profile ("") > Time preferences > Manage users and select the All user tab.
  2. Select the checkbox next to the name of the person that you want to invite.
    You can use either the search bar at the top of the tab, or scroll through the list to find users. You can select more than one name.
  3. Hover over Bulk actions at the top of the tab and select Invite.
    The Invite users dialogue opens.
  4. Use the dropdown menu to assign a SIT role to the invited users.
    • Manager: can invite, deactivate, and manage users in addition to also filling in timesheets in SIT.
    • Employee: can manage their personal settings and fill in timesheets in SIT.
  5. Optionally, use the search bar at the top of the Invite users dialogue to find other employees to invite to SIT.
    1. You can search for and select multiple names.
    2. Select the role for this group of users.
    3. Select Add.
      The selected names are added to the list of users to invite.
    4. You can change the role of any user on the invite list before sending the SIT invitation.
  6. Select Send invite.

To invite people to use SIT using the Not invited tab:

The Not invited tab automatically filters out users who have already been invited to SIT.

  1. Go to Profile > Time preferences > Manage users and select the Not invited tab.
  2. Select the checkbox next to the names of the people that you want to invite.
    You can also select all names by selecting the checkbox at the top of the checkbox column.
  3. Select Invite at the top of the tab.
    The Invite users dialogue opens.
  4. Use the dropdown menu to assign a SIT role to the invited users.
    • Manager: can invite, deactivate, and manage users in addition to also filling in timesheets in SIT.
    • Employee: can manage their personal settings and fill in timesheets in SIT.
  5. Optionally, use the search bar at the top of the Invite users dialogue to find other employees to invite to SIT.
    1. You can search for and select multiple names.
    2. Select the role for this group of users.
    3. Select Add.
      The selected names are added to the list of users to invite.
    4. You can change the role of any user on the invite list before sending the SIT invitation.
  6. Select Send invite.

Deactivate and reactivate users

Periodically you might need to deactivate or reactivate a SIT user.

To deactivate SIT users:

  1. Go to Profile > Time preferences > Manage users and select the Active users tab.
  2. To deactivate a single user:
    1. Locate the username in the list and select Option ("") at the far right of the row.
    2. Select Deactivate.
      The user is deactivated. Their name is added to the Inactive Users tab.
  3. To deactivate multiple users:
    1. Select the checkbox next to the usernames to be deactivated.
      You can select the whole list using the checkbox at the top of the checkbox column.
    2. Hover over Bulk actions at the top of the Active users tab and select Deactivate.
      The users are deactivated. Their names are added to the Inactive users tab.

A deactivated user cannot fill in timesheets until they’re reactivated.

To reactivate a user:

  1. Go to Profile > Time preferences > Manage users and select the Inactive users tab.
  2. To activate a single user:
    1. Find the username in the list and select Option ("").
    2. Select Activate.
      The user is added to the All users and Active users tabs.
  3. To activate multiple users:
    1. Select the checkbox next to the usernames to be reactivated.
      You can select the whole list using the checkbox at the top of the checkbox column.
    2. Hover over Bulk actions at the top of the Inactive users tab and select Activate.
      The users are added to the All users and Active users tabs.

Other actions

A SIT manager can also perform other actions on SIT user accounts.

Change a user role

Employee information is stored in Intacct and cannot be changed in SIT. However, users in SIT have roles that determine their permissions in SIT: Manager or Employee. If you’re a Manager, you can edit the role a user has in SIT.

To change a user role:

  1. Go to Profile > Time preferences > Manage users and select the All users or Active users tab.
  2. Find the username in the list and select Option ("").
  3. Select Edit user.
    The Role dropdown menu becomes active.
  4. Select the new role for the user and select the green check mark.
    The user role is changed.

Resend or cancel invitations

Emails can become lost and sometimes an invitation needs to be resent.

To resend a SIT invitation:

  1. Go to Profile > Time preferences > Manage users and select the All users, Active users, or Invitations tab.
  2. Select the checkbox next to the usernames that need an invitation resent.
    You can select more than one user, or the whole list using the checkbox at the top of the checkbox column.
  3. Hover over Bulk actions at the top of the tab and select Resend invitation.
    New invitations are sent to selected users.

To cancel an invitation:

You can only cancel invitations for single users. There's no bulk action for canceling more than one invitation.
  1. Go to Profile > Time preferences > Manage users and select the Invitations tab.
  2. Find the username in the list and select Option ("").
  3. Select Cancel invitation.
