User type descriptions

Below is a description of each user type available in Sage Intacct.

User type Description

Business

  • Any level of access.
  • All admin users (full and limited) must be business users.
  • Perform financial accounting transactions.

Client (available only under Accountant consoles)

Ability to view dashboards, reports, and operational data across financial subledgers, with expanded accountant console access.

  • Create, edit, and approve transactions across AP, AR, Purchasing, Order Entry, Cash Management, and Time & Expenses.
  • Approve payments, purchasing transactions, timesheets, expenses, and expense reimbursements.
  • Generate, confirm, and manage bank and ACH files.

Construction Manager (available only with a subscription to Construction)

Allows access to Sage Intacct Construction.

  • Includes access rights of a Project Manager, plus the ability to generate and post project AR sales invoices.
  • Can be set up with full access to Sage Construction Management.

Employee

  • Record personal timesheet information and enter personal expense reports.
  • Create and submit expenses for themselves and other employees.
  • Create purchase requisitions (for transaction definitions where the Template type = Quote).
  • Can approve timesheets and expenses but not reimbursements. They can also approve AP purchase invoices, AP payments, and Purchasing transactions.
  • Can approve suppliers, but cannot submit suppliers.
  • View and list data, such as suppliers and customers.
  • View dashboards.
  • Run standard reports and pre-defined financial and custom reports.
  • Can't perform financial accounting transactions. For example, an employee user can't enter a journal entry.

Project Manager

Available only with a subscription to Projects.

How do user types interact with projects.

Payment Approver
(available only under Accountant consoles)

Ability to view dashboards, reports, and other data, plus limited access to features designed for instances of Accountant consoles.

  • Create and edit personal timesheets and expenses.
  • Approve AP payments, purchasing transactions, timesheets, expenses, and expense reimbursements.

Platform
(available only with a subscription to Platform Services)

Same as an Employee user, plus full access to any custom applications added through Platform Services.

CRM

For use with Salesforce integration. No direct login access to Intacct.

Warehouse
(available only with a subscription to Inventory Control)

A user with selected activities and tasks limited to Order Entry, Purchasing, and Inventory Control:

  • Create, edit, and delete transactions.
  • Create, edit, and delete price lists and price list entries in price lists.
  • Run standard reports.
  • Process Purchasing transactions
  • Replenish inventory
  • Build and disassemble stockable kits.
  • Use warehouse transfer.
  • Run inventory valuation maintenance.
* Expense approvals are different from approvals for reimbursements. Business users have approval capability across the Intacct system (AP payments, journal entries, expenses, reimbursements, timesheets, and purchasing).
