Set up an auditor as a user
Auditors need access to your financials to validate that your accounting books are accurate. Often you don't know exactly what they need to validate your accounts, so they need to access a range of books and reports in Intacct. Here are the steps we recommend for your administrator to grant an auditor access to your Intacct company.
Set up a read-only user
Auditors need to see a range of transactions, books, and reports to validate your accounts. To do this, add the auditor as a user with read-only permissions to your Intacct company. The steps for creating a read-only user are different depending on whether your company uses role-based or user-based permissions. See role-based vs. user-based permissions.
User-based permissions
- Add a new user.
- Select the User type: Business with Limited privileges.
- Assign the new user Read only permissions for all applications and reports the auditor needs to access.
Role-based permissions
Create a role
- Add a new role.
- Name the role Auditor.
- Assign the new role Read only permissions for all applications and reports the auditor needs to access.
Add a user
- Add a new user.
- Select the User type: Business with Limited privileges.
- In the Roles Information tab, choose the read-only Auditor role you created.
Audit Trail
With Audit Trail, you have a record of who made changes to a particular record and when. For example, if you wanted to see what changed specifically in a supplier record, you would go to Accounts Payable > All > Suppliers, then select View next to the supplier whose audit trail you want to inspect. From the supplier record, select More actions > View audit trail to see the changes to values on the record.
The audit trail is available to all users with the appropriate permissions.
Advanced Audit Trail
When you subscribe to Advanced Audit Trail, you can track access to personal data stored in contact, customer, and supplier records to comply with data protection laws, such as HIPAA.
