About custom approvals for Purchasing

Configure custom approval workflows for Purchasing transactions using flexible, rule‑based logic.

With custom Purchasing approvals, admins can create approval rule sets based on Purchasing transaction data and automatically route transactions to the appropriate approvers. Rules can evaluate either transaction-level information (header-level fields) or individual transaction lines (line-level fields) to support more granular approval workflows.

Sage Intacct records approval policy configuration changes in the Purchasing audit trail, including the user who made the change and when the change occurred.

Key benefits

  • More granular approval criteria: Create approval rules using both header-level and line-level Purchasing data.

  • Flexible routing options: Route transactions to specific users or user groups based on business criteria.

  • Expanded field support: Build approval rules using supplier, project, department, and other Purchasing fields.

  • Improved control and visibility: Maintain consistent approval processes and track approval activity through audit records.

How it works

Custom approvals use rule sets to determine when a Purchasing transaction requires approval and who should approve it.

Approval rules run sequentially based on the order defined in the Purchasing approval policy. When multiple rule sets exist, place the most specific rules before more general rules.
  1. Create a custom approval rule set.

  2. Define approval criteria and approvers.

  3. Add the rule set to a Purchasing approval policy.

Purchasing approval policies can contain up to 100 rows.

  4. Activate the approval policy.

Go to Purchasing > Setup > Configuration > Approval policies, then add the custom rule set to a Purchasing approval policy for a transaction definition. This action activates the rule set.

When a transaction meets the rule criteria, Sage Intacct routes it to the assigned approver or approvers.

Header-level and line-level approvals

Use header-level fields to evaluate information that applies to the entire transaction. Use line-level fields to evaluate individual transaction lines.

  • Line-level approval criteria are available only when Purchasing document detail is selected in Object to approve.

  • Line-level fields are available only to companies participating in the Purchasing line-level approvals Early Adopter program.

  • You cannot combine header-level and line-level approval criteria in the same rule set.

  • Custom approval rule sets are available only for the transaction definition they were created for. For example, a rule set created for Purchase Orders can be used only with Purchase Order approval policies.

Audit history

Changes to custom approval configurations are recorded in audit history, providing visibility into approval policy and rule set updates.
