Roll Forward report—Fixed Assets Management

The Roll Forward report provides a clear view of changes in fixed asset balances over a specified time period. It is included as a standard report in Fixed Assets Management. It shows opening balances, period activity, and closing balances for asset cost and depreciation, along with the resulting opening and closing net book value.​​

This report is a key reconciliation tool for validating that fixed asset activity is recorded correctly. It supports audits, helps ensure balance sheet accuracy, and makes it easier to explain period‑over‑period changes in fixed asset balances.

For example, for a specific asset classification over a fiscal quarter, the report can show an opening asset cost of £250,000 and accumulated depreciation of £80,000, £40,000 in asset additions, £10,000 in disposals, £7,500 in depreciation, and a resulting closing net book value of £192,500.

Run the report

  1. Go to Fixed Assets ManagementAll > Reports > Roll forward report.

  2. Set the report's time period by doing one of the following:

    • Select a Reporting period and an As of date.

    • Enter a specific Start date and End date.

      If you enter values for all fields, the report uses the start and end dates.

  3. Customize the filters to focus the results of your report.

    • From asset, To asset: Filter by a range of asset IDs. Select the first asset to include in From asset and the last asset to include in To asset.

    • Classification

    • Location

    • Journal

    • Include non-depreciation assets

    • Asset state

  4. For Report type, select Summary or Detail.

    The Detail report shows one row per asset and includes additional fields.

  5. Select View.

This report includes the following columns.

Report field descriptions
Column Description
Asset classification The ID of the asset classification. Select the ID to drill into the asset classification.
Asset ID

The unique identifier of the asset. Select the ID to drill into the asset.

This field only appears in the Detail view of this report.
Asset name

The name of the asset.

This field only appears in the Detail view of this report.
State

The current state of the asset, such as In service.

This field only appears in the Detail view of this report.
Asset cost

The original purchase cost of the asset.

This field only appears in the Detail view of this report.
Salvage value

The estimated value of the asset at the end of its useful life.

This field only appears in the Detail view of this report.
Cost: Opening

Asset cost before the start of the report's time period.

This includes the following assets:

  • Assets with an in-service date before the report's start date.

  • Assets that were not fully disposed of before the report’s start date.

For partially disposed assets, this shows the remaining asset cost after the disposal.

Cost: Additions

Asset cost added within the report's time period (including start and end dates).

This includes assets with an in-service date on or between the report's start and end dates.

Cost: Disposals

Asset cost disposed of within the report’s time period (including start and end dates).

This includes assets with a disposal date on or between the report's start and end dates.

  • For fully disposed assets, this shows the total asset cost.

  • For partially disposed assets, this shows the total disposed amount.

Cost: Closing

Asset cost as of the end of the report's time period.

This value equals opening cost plus additions, minus disposals.

Location ID

The ID of the location dimension that the asset is assigned to. Select the ID to drill into the location.

This field only appears in the Detail view of this report.
Department ID

The ID of the department dimension that the asset is assigned to. Select the ID to drill into the department.

Acquisition date

The date that your organization purchased or obtained the asset.

This field only appears in the Detail view of this report.
In-service date

The date when the asset became available for use by your organization. Determines when the asset starts to depreciate.

This field only appears in the Detail view of this report.

Depreciation: Opening

Depreciation accumulated before the start of the report's time period.

This amount includes the following depreciation entries:

  • Posted entries with an actual posting date before the report's start date.

  • Historically posted entries with a scheduled posting date before the report's start date.

Depreciation: Period

Depreciation accumulated within the report's time period (including start and end dates).

This amount includes the following depreciation entries:

  • Posted entries with an actual posting date on or between the report's start and end dates.

  • Historically posted entries with a scheduled posting date on or between the report's start and end dates.

Depreciation: Disposals

Partial accumulated depreciation associated with assets that were partially disposed of within the report's time period (including start and end dates).

Depreciation: Closing

Depreciation accumulated as of the end of the report's time period.

This amount includes the following depreciation entries:

  • Posted entries with an actual posting date on or before the report's end date.

  • Historically posted entries with a scheduled posting date on or before the report's end date.

This value equals opening depreciation plus period depreciation, minus disposals.

Select this value to drill into the depreciation schedule.

Net book value: Opening The opening cost minus opening depreciation.
Net book value: Closing The closing cost minus closing depreciation.
Journal The journal where fixed asset transactions are recorded.
