Start a count

After a cycle count has been created or reassessed, the next step is to manually count the quantities of the items that are in the warehouse on the day the count is to be taken.

Before the quantities can be counted in the warehouse, the count needs to be started in Sage Intacct. Starting the count captures the on-hand quantities and creates the count worksheet for the warehouse worker or stock counter to follow.

To view a list of your cycle counts, go to Inventory Control >All > Cycle counts .

1. Post transactions that affect quantity on hand

When a cycle count is started, the current on-hand quantity of the items in the count is captured in Sage Intacct. Inventory quantity and value adjustments are suggested when the actual quantity counted in the warehouse differs from the system-recorded quantity.

To capture the most accurate on-hand quantity, ensure that any transactions that are completed and affect quantity on hand are posted. For example, items might have been shipped for a sales transaction or received for a purchasing transaction. Make sure that those transactions are posted before you start the count.

2. Start the count

Starting a cycle count captures the current on-hand quantity of the items and enables you to prepare the count worksheet, which the warehouse worker or stock counter uses to perform the count and enter the actual quantities counted.

  1. Go to Inventory Control> All > Cycle counts.

    The Cycle counts list appears.

  2. Find the count that you want to start.

  3. Select More actions > Start count at the end of the row.

    The Cycle count information page appears. Sage Intacct automatically updates the quantity on hand for each item in the count with the currently recorded quantity on hand. This quantity is used to determine the count variance when the results of the manual count are entered

If any items in the count are already in another cycle count that's in progress, you receive a warning and the items are automatically marked to be skipped in this count.
  1. Select Print worksheet at the top of the page.

    An Excel spreadsheet with the items to count is downloaded.

  2. Select Save.

    The actual start date for the count is automatically entered in the cycle count record.

  1. Go to Inventory Control> All > Cycle counts.

    The Cycle counts list appears.

  2. Next to the count that you want to start, select Start count

    The Cycle count information page appears. Sage Intacct automatically updates the quantity on hand for each item in the count with the currently recorded quantity on hand. This quantity is used to determine the count variance when the results of the manual count are entered.

If any items in the count are already in another cycle count that's in progress, you receive a warning and the items are automatically marked to be skipped in this count.
  1. Select Print worksheet at the top of the page.

    An Excel spreadsheet with the items to count is downloaded.

  2. Select Save.

    The actual start date for the count is automatically entered in the cycle count record.

3. Prepare the count worksheet

Before you give your warehouse worker the count worksheet, review the worksheet and change the sort method if needed.

  1. Find the Excel spreadsheet that was downloaded for the count and open it.
  2. Review and save the spreadsheet. You can resort the items in the spreadsheet to provide a list that might be easier and more efficient for your warehouse worker to follow.

4. Give the count worksheet to the counter

Give the count worksheet to the warehouse worker who is assigned to perform the count. Depending on how the warehouse worker will enter the counted quantity, on a piece of paper or online, either print the worksheet for the count or provide access to the online worksheet.

Buttons

The following table describes the buttons that can appear on the Cycle count information page.

Saves the information in the Summary section and enables you to define the items to include in the count.

Cancel

Returns you to the list of Cycle counts without saving any changes.

Update quantity on hand

Refreshes the quantity on hand for each item in the count with the current quantity on hand. This button does not appear after the count is started.

Starting a count automatically refreshes the quantity on hand for each item in the count with the current quantity on hand.

Start count

Starts the count. The status of the count changes to In progress. When the count is started, Sage Intacct automatically refreshes the quantity on hand for each item in the count with the currently recorded quantity on hand. This quantity is used to determine the count variance when the results of the manual count are entered. You can also start a count from the Cycle counts list page.

Complete count

Completes the count. The status of the count changes to Complete. When the count is completed, a report of the count variance is generated. Use the report to determine what inventory adjustments to make.

Print worksheet

Downloads a count worksheet that you can give to the warehouse worker who will manually count the items in the warehouse.

Done

Returns you to the list of Cycle counts.

Changes made in the Items included in the count section are always auto-saved.

Field descriptions

The following tables describe each field on the Cycle count information page.

Summary section

Summary section field descriptions
Field Description

Count ID

The record number for the cycle count. This field uses the numbering sequence defined in the Configure Inventory Control page.

Count description

Information about the cycle count that might be helpful in the future. The description is displayed in the Cycle counts list.

Warehouse

The warehouse in which items will be manually counted. The warehouse cannot be changed after the count is saved.

Assigned to

The employee who will perform the manual count. The employee assigned to take the count cannot be changed after the count is saved.

Count status

A read-only field that displays the status of the count:

  • Not started: The count has yet to be marked as started.
  • In progress: The count has been marked as started, and the items in the count are in the process of being counted.
  • Counted: The results of counting the items have been entered, and the count has been marked as complete.
  • Reconciled: The count results have been analyzed to evaluate the differences between the actual quantities that were counted and the system-recorded quantities, and Inventory Control transactions adjustments have been made for any count variances, if accepted.
  • Voided: The results of the count are not to be used, and the count has been marked as voided.

Show quantity on hand after count is started

Whether to continue to display the quantity on hand on the Cycle count information page after the count is started. This option cannot be changed after the count is saved.

Exclude allocated quantity from quantity on hand

When the checkbox is selected, quantity on hand is reduced by the allocated (picked) quantity and, for tracked items, also by the reserved quantities in sales orders. Allocated quantity is considered to be picked and no longer on the warehouse shelves. Reserved quantity is considered to be on the warehouse shelves but set aside to fill sales orders and not available to be used anywhere else.

Consider selecting the option if you want your warehouse employees to count only the quantity that hasn't already been picked and, for tracked items, also reserved.

Actual count start date

A read-only field that displays the date that the count was started. A count can be started on the Cycle counts list page or from within the count by saving the Cycle count information page with Save & start count.

Actual count end date

A read-only field that displays the date when the count was completed. A count is completed when the results of the manual count have been entered into the cycle count and the count has been saved with Save & complete.

Quantity on hand last updated

A read-only field that displays the date and time when the quantity on hand was last updated. This field is refreshed when you perform either of these two actions:

  • Select the Update quantity on hand button.
  • Start a count. Sage Intacct automatically updates the quantity on hand when you start a count.

Item

The item ID for the item. This is a read-only field.

Name

The name of the item. This is a read-only field.

Bin

The bin that contains the item. This read-only field appears only if bin tracking is enabled on the Configure Inventory Control page.

Row

The row in which the bin is located. This read-only field appears only if bin tracking is enabled on the Configure Inventory Control page.

Aisle

The aisle in which the bin is located. This read-only field appears only if bin tracking is enabled on the Configure Inventory Control page.

Zone

The zone in which the bin is located. This read-only field appears only if bin tracking is enabled on the Configure Inventory Control page.

Serial no.

The serial number for the item. This read-only field appears only if serial number tracking is enabled on the Configure Inventory Control page.

Lot no.

The lot number for the item. This read-only field appears only if lot number tracking is enabled on the Configure Inventory Control page.

Expiration date

The expiration date for the item. This read-only field appears only if lot number tracking is enabled on the Configure Inventory Control page.

QOH as of last update

The quantity on hand for the item when the count was created or as of the last updated date.

Units

The unit of measure for the item.

Qty counted

The field in which to enter the actual quantity that was counted for the item and found to be undamaged.

Qty damaged

The field in which to enter the actual quantity that was counted for the item but found to be damaged.

QOH as of count start

Appears if you selected Show quantity on hand after count is started when you created the cycle count. The field displays the quantity on hand for the item when the count was started.

Adjustment reason

A description of why the quantity on hand might need to be adjusted.

Counted by

The employee assigned to perform the manual count. This is a read-only field with the value of the Assigned to field.

Count status

A read-only field that displays the status of whether the item has been counted:

  • Counted: Quantities have been entered for the item.
  • Not counted: Quantities have yet to be entered for the item.
  • Skipped: The item is not to be counted in this cycle count, and quantities cannot be entered for the item.

Cycle

The inventory cycle for the item.
