Customize a transaction's Entries grid layout

Sage Intacct administrators can change the column layout in a transaction's Entries grid. You can customize the display to show only the columns that are meaningful to that particular type of transaction. You can also rearrange the columns in any order.

Users can still access the columns that do not display in the Entries grid by selecting Show details for each transaction line item.

Changing the Entries grid layout affects everyone who uses that transaction definition. You cannot create a layout for one user and a different layout for another user.

Example

Say you just created a new invoice transaction definition in Order Entry that will be used mostly for subscriptions. The default Entries grid for the transaction appears as follows:

Entries grid with visible columns for Bundle, Item ID, Warehouse, Quantity, Quantity on hand, Unit, Price, and Extended price

For this type of transaction, you do not need the Warehouse or Quantity on hand fields to display. You'd rather have the revenue recognition template information display in the grid.

You could customize the Entries grid as follows:

Entries grid changed with the visible columns now being Item ID, Item description, Quantity, Unit, Price, Extended price, Rev rec template, Start date, and End date.

To customize the Entries layout:

  1. Go to Inventory Control, Order Entry, or Purchasing > All and select Add (circle) next to the transaction you want to customize.

For example, if you want to change the layout for a transaction named Sales invoice, select Add (circle) next to Sales invoice.

You're not really going to add a transaction here, you're just using the add page to access the layout editor.

  2. On the <Transaction name> page, select More Actions and then select Edit Entries layout.

The Details section for the first line item appears and displays the fields that you can add to the grid layout. It's also the section to which you’ll drag columns that you do not want to appear in the grid layout.

  3. To move a column, hover over it until you see your cursor change to a four-headed arrow: "" Then select and drag the column where you want it to be. You can do any of the following:
    • Change the order of the columns. In the grid, hover over the heading of the column you want to move. When your cursor changes into a four-headed arrow, select and drag the column to the left or the right. A gray vertical bar indicates where the column will appear when dropped.
    • Move the column from the Entries grid to the Details section. In the grid, hover over the heading of the column you want to move. When your cursor changes into a four-headed arrow, select and drag the column into the Details section. A gray horizontal bar indicates where the field will appear when dropped.

If you do not see a horizontal gray line where you want to drop a field, that means that you cannot put the field in that position. Drag the field around the section to find the available positions.

    • Move a field from the Details section to the Entries grid. In the Details section, hover over the field that you want to move. When your cursor changes to a four-headed arrow, select and drag the field into the Entries grid. A gray vertical bar indicates where the column will appear when dropped.
    • Rearrange the fields in the Details section. Hover over the field that you want to move. When your cursor changes to a four-headed arrow, select and drag the field. A gray horizontal bar indicates where the field will appear when dropped.
  4. When you’ve finished customizing the layout, select the Apply the layout changes to all form views (Create, Edit, View) checkbox.
  5. Select Save layout.

This new layout will appear for anyone who uses this transaction.

If you make an error or change your mind, select Reset to default. Intacct resets this transaction to its default layout view.

  6. In the <Transaction name> page, select Cancel.
