Summary Gantt chart

Project managers can use the Gantt chart to get a visual representation of their projects and tasks and:

  • Track project progress and update project information and task information on-the-fly by drilling down.
  • Zero in on problem areas where an aspect of your project is over budget.
  • View additional project information by scrolling the left split-page.

Different user types will have different views of the chart. For project managers, the Summary Gantt chart shows only the projects for which you are the project manager, or for projects on which you are assigned as a resource. Employee users can see projects on which they are assigned as a resource. Business users can see all projects in the entity.

You can customize your own view of the chart by selecting Customize, where you can choose to display resources, more projects, filter by project group, and filter by date.

To access the report, go to Projects > All > Project & resource mgmt > Summary Gantt chart.

How to read the chart

The Summary Gantt chart is a split-page with projects and tasks on the left side, and a bar chart on the right. You can scroll through the left portion of the split-page to see key project metrics like start and finish dates, estimated hours, observed hours, approved hours, and more.

Your projects and tasks are measured against time, so you can see how long each will take and how much progress has been made. The entire bar represents the duration of a project or task. Inside each bar is a shaded area which designates actual work that's been completed.

Customize your chart

When you first view the Summary Gantt chart, it defaults to show you only the first 5 projects in your project lists which have begin or end dates on the current date, plus or minus one day. You'll also see child projects of the displayed projects. The project with the earliest start date appears first. You can view more information, like financial data and resources, or show more projects by selecting Customize. Select Refresh to see your changes appear.

The changes you make to your Gantt chart only appear in your view, and don't appear for anyone else.

Filter by project group

A good way to filter your Summary Gantt chart is to select a project group in the Gantt Chart Customization page. A project group is a dimension group for tracking purposes. For example you may have a project group for projects managed under a certain person, or for projects with certain characteristics (same location, etc.).

You can create a new project group directly from the Gantt Chart Customization page by selecting the Project group dropdown and then selecting Add.

Access the Project Gantt chart

You can access a detailed Gantt chart for an individual project by selecting the project's name. From there, you can edit project, task, and resource data.

Field Description

Project name

The name of the project. Select the name to go to the Project Gantt Chart page, where you can see a Gantt chart for this individual project. Here, you can make changes to the project, task, or resources. Learn more about Project Gantt charts.

You can access the Project Gantt chart from the Project Information page, or from the Project list page.

Project manager

The person in charge of managing the project.

Status

The status assigned to the project. To show projects with a different project status, select Customize.

Start

The Begin date of the project. A project must have a Begin date to appear in the Summary Gantt chart.

Finish

The End date of the project. A project must have an End date to appear in the Summary Gantt chart.

Estimated hours

The project's estimated hours.

Obs %

The observed % complete hours of the project.

Approved hours

The amount of hours approved for the project.

All hours

All hours charged to the project.

Budget Cost

The budgeted cost of the project.

Actual Cost

The actual cost of the project.

Budget Billing

The budgeted billing amount.

Actual Billing

The actual amount billed to the project.

Field Description

Today line

The chart defaults to show project information relative to the current date. You can change this by selecting Customize and deselecting the Position chart so Today is visible on load checkbox to have the chart load from the start date of your first project.

Progress bar

This bar shows how much progress has been made on a project, task, or resource assignment. The shaded region indicates the percent completed based on approved hours versus estimated hours. The entire bar represents the entire planned duration of the project.

This bar appears by default in the chart.

Cost bar

This bar shows how the budgeted cost compares with the actual cost. The shaded region signifies the percent of budgeted cost actually spent.

By default, this bar doesn't appear in the chart until you select it on the Gantt Chart Customization page.

Billings

This bar shows the percentage of actual billings compared to the budgeted amount.

By default, this bar doesn't appear in the chart until you select it on the Gantt Chart Customization page.

Margin

The billed margin of the project (not the revenue margin).

By default, this bar doesn't appear in the chart until you select it on the Gantt Chart Customization page.
