Edit and post automated transactions
From the Automated transaction list in Accounts Payable, you can review, edit, and post PO purchase invoices and AP purchase invoices that have been uploaded or emailed for automated transaction processing. For transactions with document matching, you can change the matched transaction as part of the review process, before posting.

Automate transactions with document matching enabled. Transaction definitions mapped for the top level and any entities where documents are emailed or uploaded. |
- Go to Purchasing > All > Automated transactions.
The list shows all purchasing transactions that have been uploaded or emailed for automated transaction matching, including those that you posted previously. If you do not see Automated transactions in the menu, check your user or role permissions.
By default, the list uses the Drafts view, which shows all transactions that are in a draft or analyzing state. To view posted transactions as well, select the All view. - Select Edit or View next to the draft transaction that you want to review.
If the transaction included any import exceptions, a message appears at the top of the transaction describing the issue. Import exceptions display until you post the transaction.
Is an uploaded document that you want to review stuck in the Analyzing state?If you have an AP purchase invoice that has been stuck in the Analyzing state for over 2 hours you can use the Cancel link to stop analysis.
- Verify that the supplier is correct.
Checking the supplier is the first step in validating the data, as several fields pull information from the supplier information. In addition, if you decide to select a different transaction match, the list of available transactions is filtered for the selected supplier.
- If the transaction should be an AP purchase invoice instead of a PO purchase invoice, move the transaction to the Accounts Payable workflow.
- If the PO purchase invoice was created with a placeholder transaction definition, matched to the wrong source transaction, or no match was found, select Change to select a source purchasing transaction.
When you select a new match, Intacct brings line items from the source document into the draft transaction. Subtotals that were defined in the target transaction definition are also brought into the draft.
If the PO purchase invoice uses the wrong transaction definition, learn how you can change it. - Using the attachment for comparison, verify that the line items and their amounts match.
- Validate the remaining fields.Carefully review the subtotals against the uploaded or emailed document. Sage Intacct supplies subtotals based on information from the transaction definition, not the supplier document.
- Select Draft or Post.
After you post a transaction, it remains in the Automated transactions list.
