Schedule report delivery

You can schedule a report to be run automatically at regular intervals, such as daily, weekly, or monthly. You can schedule previously memorized reports, report groups that you created, and all financial reports.

When a scheduled report is generated, you have your choice of delivery methods. Report delivery options include emailing the report, storing the report in Intacct, or sending the report to a cloud storage target such as Dropbox, Box, Google Drive, Amazon S3, or an HTTP address.

Schedule a report

You can set a different schedule and report format for each report that you schedule. For example, you could email the report to selected people (including yourself), and send it to a Dropbox folder for others to access.

  1. Find the report or report group that you want to schedule:
    • Memorized reports.

      From any application, open the Memorized Reports list. For example, go to General Ledger > All > Reports > Memorized reports.

    • Financial reports.

      Go to General Ledger > All > Financial reporting > Financial reports.

    • Report groups.

      Go to Reports > Setup > More > Report groups.

  2. Select Schedule.

    A page shows the schedule settings for the report.

    For any of the report types listed above, you can set schedule settings from the Reports center (Reports > All > Reports center). On the More actions menu for the report, select Edit schedule.
  3. Optionally, filter the report:
    • You can use Department group, Location group, and Project group to filter for a specific department, location, or project, or for a group of departments, locations, or projects. If you leave the filters blank, the scheduled report will be run for all departments, locations, and projects.
    • Leave the As of date blank to use the current date as the As of date for the report. This is the date on which the scheduled report is run. If you enter an As of date, that date will always be used regardless of when the schedule is run.
    Any filter selections made on this page will override filter selections made when editing the report. If you change the filters for a scheduled report in the Financial Report Writer or Edit Memorized Reports page, you must edit the report schedule and make the same changes. Otherwise, scheduled reports will not reflect the updated filter selections.
  4. Set the Schedule for when the report will be to run.
    • For Start date, select the first date on which the report will be generated.
    • For Ends, select when the schedule will stop running, either as a date or number of occurrences. To continue running the report indefinitely, select Never.
    • For Recurrence, specify how often the report will run after the Start Date, such as daily, weekly, monthly, or yearly. Alternately, you can set the recurrence to run the report every time a General Ledger close is performed.
  5. Select one or more Delivery options:
    • Email the report to yourself or others.
    • Store the report in Intacct.
    • Store the report in a cloud storage site such as Dropbox, Box, or Google Drive.

Specify delivery options

You can set multiple delivery options in the same schedule. This capability provides several ways to make a report accessible to yourself and others.

For each delivery option, you’re prompted to supply information, such as the email addresses or cloud storage target where the report is to be delivered, and the report type.

Email

You can send the report as an email attachment, along with a message of your choice.

It is recommended that you reserve email delivery for small reports. Larger reports might exceed the maximum size allowed for email file attachments.
  1. For Delivery options, select Email.
  2. For To, enter the email addresses to which you want to send the report. Separate the addresses with a comma or semicolon. For example, "hisname@email.net; hername@email.net".
    Alternately, select All Departments or All Locations, then choose Associated manager on dimension record to send the report to each department or location manager designated in the Department or Location Manager record. This enables you to send a copy of the report to every designated manager, relieving you from having to create a schedule that sends a separate copy to each manager.
  3. Optionally, select Cc me to send a copy of the report to your email address.
  4. For Subject, enter the subject of the email, such as the name of the report.
  5. For Message, enter a message or report description. The message appears in the body of the email.

Store in Intacct

Reports that are stored in Intacct are stored in My Stored Reports. You can access My Stored Reports from any application menu. For example, to access a stored financial report, go to Reports > My reports, then select View stored reports link.

Reports in the My Stored Reports list can only be accessed by you. To share a report, consider storing it in the cloud.
  1. Select Store in Intacct to store the report directly in Intacct.
  2. In Report Description, enter the name of the report as you want it to appear in the My Stored Reports list.

Each time a scheduled report runs, it’s stored in Intacct. This provides an archive for your reports. You access scheduled reports from the Reports center.

Store in cloud (Dropbox, Box, Google Drive, or HTTP)

You can have the report delivered to a cloud storage site of your choice, where it can be accessed by yourself or others.

  • You can have the report delivered to an account (and optionally, a specific folder) on Dropbox, Box, or Google Drive.
  • If you’re a developer of Sage Intacct solutions, you can also have the report delivered to another application using HTTP.

When you store recurring reports to the cloud, each time the report run, the latest version of the report is stored, overwriting the prior report.

Setting up cloud storage

  1. Set up 1 or more cloud storage locations for storing reports. For detailed instructions, see Cloud storage for reports.
  2. Select Store in cloud when you schedule the report.
  3. From the Send to dropdown menu, select the cloud storage target to use for this scheduled report.
    By default, you can choose from any cloud storage targets that you've defined or that others have defined and marked as public. If you're an administrator, you can see all cloud targets.
  4. Optionally, use the Path field to override the default location where the report will be delivered.

  5. In Report name, enter the title that should be used for the report in the cloud storage target.
  6. Select OK.

Create individual reports for each entity or location in a report group

You can configure your schedule to create a report from a report group as a combined report or as a report consisting of separate reports, one for each entity or location.

There will be one report, but it will be divided into smaller reports for the entities.

  1. Go to Reports > Setup > More > Report groups and find the report group for which you want the reports.
  2. Select Schedule.
  3. For Filters, select Group by location or entity.
  4. Enter the rest of the information for the schedule.
  5. Select Save.
The resulting report is grouped by individual entities and locations, not as a combined report.
