Print or email statements

You can print or email multiple statements for a range of dates or customers. Printing a statement generates a PDF file. Use your PDF reader program to print a hard copy of the document if desired.

Print or email statements at the entity level.

1. Set filters and view statements

Use filters to pinpoint groups of statements you want to print or email based on dates, customers, and more.

  1. Go to Accounts Receivable > All > Invoices > Print or email > Statements.
    Don't worry about being too precise on the options page. On the next page, you can specifically select or deselect statements to print or email.
  2. Set Delivery options. See Delivery options for more information.
  3. Select a time period. See Time Period for more information.
  4. Select Filters to pinpoint the statements you want to print or email. See Filters for more information.
  5. Select Formats for the statement.
    • Printed statements use a Printed document template for the format. You can optionally enter a Statement date to appear in the printed statement.
    • Emailed statements use an Email template for the format.
  6. Select View.

    The Send statements window appears and displays the statements that meet the specified criteria. If the desired statements do not appear, close the pop-up window and adjust the Filter criteria.

Select statements to print or email

Intacct automatically sets each statement to Print and/or Email based on the Statement and invoice delivery preference in the customer record.

  1. (Optional) To view a statement, select the Preview link in the Send statements window.

  2. To print a statement, select the Print checkbox next to each desired statement. To select all statements, select the "" icon at the top of the Print column.
  3. To email a statement, do the following:
    1. Select the Email checkbox next to each desired statement. To select all statements, select the "" icon at the top of the Email column.
    2. If you want to change any of the To, Cc, or Bcc email addresses, edit the applicable fields as desired using commas or semicolons to separate the email addresses.
  4. When you've selected all desired statements, select the Print or email button.

    If you selected to print a statement, the statements appear in a separate browser window.

    Depending on your selections, a Statement Delivery Report page appears and displays one or both of the following messages:

    • "<#> statement(s) were sent to Adobe Acrobat Reader. You can print a hard copy."
    • "<#> statement(s) have been scheduled for email delivery

    If you selected 100 or more statements to print or email, Intacct informs you that it will process the statements offline. When processing is finished, you can view and print the statements from My stored reports.
  5. To print a hard copy if applicable, switch to the browser window containing the statements and do the following:
    1. Select the Printer icon in the upper-left corner.
    2. In the Print dialog that appears, select the desired printer and then select Print.
  6. Select Close to close the Statement Delivery Report.
