Purchasing permissions

Purchasing permissions control who has access and visibility to Purchasing functionality.

When a new feature is added, you typically need to assign permissions to users. This allows you to control access of who can use those new features.

A user's effective permissions can be influenced by their user type, role, and admin privileges. Learn more about user types and permissions.

Activities and lists

Permission Options

PO transaction definitions

  • List: Displays a list of Purchasing transaction definitions.

  • View: Provides a read-only view for Purchasing transaction definition details. Requires the List permission.

  • Add: Allows users to add Purchasing transaction definitions. Requires the List permission.

  • Edit: Enables users to update Purchasing transaction definition details except for the template name. Requires the List permission.

  • Delete: Users can delete Purchasing transaction definitions. Requires the List permission.

To access the Recurring templates link, assign the Recurring transactions List permission. Requires the List permission.

Purchasing approval levels

Assign the Approve purchase transaction List permission so that users can approve or decline Purchasing approval levels.

  • Level 1: Allows users to approve or decline approval levels based on the level 1 minimum amount.

  • Level 2: Enables users to approve or decline approval levels based on the level 2 minimum amount.

  • Level 3: Users can approve or decline approval levels based on the level 3 minimum amount.

  • Level 4: Allows users to approve or decline approval levels based on the level 4 minimum amount.

  • Level 5: Enables users to approve or decline approval levels based on the level 5 minimum amount.

  • Level 6: Users can approve or decline approval levels based on the level 6 minimum amount.

Approve purchase transaction

  • List: Users can list, view, add, edit, and delete Purchasing approval policies.

    Users can also approve or decline Purchasing transactions.

Vendors

  • List: Displays a list of vendor records.

  • View: Provides a read-only view for vendor record details. Requires the List permission.

  • Add: Allows users to add vendor records. Requires the List permission.

  • Edit: Enables users to edit vendor record details except for the vendor ID. Requires the List permission.

  • Delete: Users can delete vendor records. Requires the List permission.

To access the Vendor name link, assign the AP ledger Run permission from the Accounts Payable application. Requires the List permission.

To access the View Due link, assign the Vendors List permission from the Accounts Payable application. Requires the List permission.

Vendor groups

  • List: Displays a list of vendor groups.

  • View: Provides a read-only view for vendor group information. Requires the List permission.

  • Add: Allows users to add vendor groups. Requires the List permission.

  • Edit: Enables users to update vendor group information except for the vendor group ID. Requires the List permission.

  • Delete: Users can delete vendor groups. Requires the List permission.

To access the Members link, assign the Vendors List permission. Requires the List permission.

Vendor GL groups

  • List: Displays a list of vendor General Ledger groups.

  • View: Provides a read-only view for vendor General Ledger group information, such as the name and status. Requires the List permission.

  • Add: Allows users to add vendor General Ledger groups. Requires the List permission.

  • Edit: Enables users to change vendor General Ledger group information, such as the status but not the name. Requires the List permission.

  • Delete: Users can delete vendor General Ledger groups. Requires the List permission.

Items

  • List: Displays a list of items.

  • View: Provides a read-only view for item details. Requires the List permission.

  • Add: Allows users to add items. Requires the List permission.

  • Edit: Enables users to update item details. Requires the List permission.

  • Delete: Users can delete items. Requires the List permission.

Item groups

  • List: Displays a list of item groups.

  • View: Provides a read-only view for item group information. Requires the List permission.

  • Add: Allows users to add item groups. Requires the List permission.

  • Edit: Enables users to update item group information except for the item group ID. Requires the List permission.

  • Delete: Users can delete item groups. Requires the List permission.

To access the Members link, assign the Items List permission. Requires the List permission.

Units of measure

  • List: Displays a list of units of measure.

  • View: Provides a read-only view for unit of measure information. Requires the List permission.

  • Add: Allows users to add units of measure. Requires the List permission.

  • Edit: Enables users to change unit of measure information except for the name. Requires the List permission.

  • Delete: Users can delete units of measure. Requires the List permission.

Serial mask

  • List: Displays a list of serial masks.

  • View: Provides a read-only view for serial mask details, such as the length and name. Requires the List permission.

  • Add: Allows users to add serial masks. Requires the List permission.

  • Edit: Enables users to edit serial mask details, such as the length but not the name. Requires the List permission.

  • Delete: Users can delete serial masks. Requires the List permission.

Lot category

  • List: Displays a list of lot categories.

  • View: Provides a read-only view for lot category information, such as the ID and name. Requires the List permission.

  • Add: Allows users to add lot categories. Requires the List permission.

  • Edit: Enables users to update lot category information, such as the name but not the ID. Requires the List permission.

  • Delete: Users can delete lot categories. Requires the List permission.

Product line

  • List: Displays a list of product lines.

  • View: Provides a read-only view for product line information. Requires the List permission.

  • Add: Allows users to add product lines. Requires the List permission.

  • Edit: Enables users to change product line information except for the product line ID. Requires the List permission.

  • Delete: Users can delete product lines. Requires the List permission.

Item GL groups

  • List: Displays a list of item General Ledger groups.

  • View: Provides a read-only view for item General Ledger group information. Requires the List permission.

  • Add: Allows users to add item General Ledger groups. Requires the List permission.

  • Edit: Enables users to update item General Ledger group information except for the name. Requires the List permission.

  • Delete: Users can delete item General Ledger groups. Requires the List permission.

Item tax groups

  • List: Displays a list of item tax groups.

  • View: Provides a read-only view for item tax group information, such as the name. Requires the List permission.

  • Add: Allows users to add item tax groups. Requires the List permission.

  • Edit: Enables users to edit item tax group information. Requires the List permission.

  • Delete: Users can delete item tax groups. Requires the List permission.

Warehouses

  • List: Displays a list of warehouses.

  • View: Provides a read-only view for warehouse information. Requires the List permission.

  • Add: Allows users to add warehouses. Requires the List permission.

  • Edit: Enables users to change warehouse information except for the warehouse ID. Requires the List permission.

  • Delete: Users can delete warehouses. Requires the List permission.

Price lists

  • List: Displays a list of Purchasing price lists.

  • View: Provides a read-only view for Purchasing price list information. Requires the List permission.

  • Add: Allows users to add Purchasing price lists. Requires the List permission.

  • Edit: Enables users to update Purchasing price list information except for the name. Requires the List permission.

  • Delete: Users can delete Purchasing price lists. Requires the List permission.

To access the Details link, assign the Price list entry List permission. Requires the List permission.

Price schedules

  • List: Displays a list of price schedule records.

  • View: Provides a read-only view for price schedule information. Requires the List permission.

  • Add: Allows users to add price schedule records. Requires the List permission.

  • Edit: Enables users to change price schedule information except for the price schedule code. Requires the List permission.

  • Delete: Users can delete price schedule records. Requires the List permission.

Price list entry

On the Purchasing price list, users can manage price list entries using the Details link. Requires the Price lists List permission.

  • List: Displays a list of price entries for the Purchase Price List.

  • View: Provides a read-only view for price list entry information. Requires the List permission.

  • Add: Allows users to add price entries for the Purchase Price List. Requires the List permission.

  • Edit: Enables users to update price list entry information except for the price list ID. Requires the List permission.

  • Delete: Users can delete price entries for the Purchase Price List. Requires the List permission.

Tax detail

  • List: Displays a list of tax detail records.

  • View: Provides a read-only view for tax detail information. Requires the List permission.

  • Add: Allows users to add tax detail records. Requires the List permission.

  • Edit: Enables users to update tax detail information except for the detail ID. Requires the List permission.

  • Delete: Users can delete tax detail records. Requires the List permission.

Tax schedule

  • List: Displays a list of tax schedules.

  • View: Provides a read-only view for tax schedule information. Requires the List permission.

  • Add: Allows users to add tax schedules. Requires the List permission.

  • Edit: Enables users to update tax schedule information. Requires the List permission.

  • Delete: Users can delete tax schedules. Requires the List permission.

To add tax schedules, assign the Tax solutions List and Add permissions from the Taxes application.

Tax schedule map

  • List: Displays a list of tax schedule maps.

  • View: Provides a read-only view for tax schedule map information. Requires the List permission.

  • Add: Allows users to add tax schedule maps. Requires the List permission.

  • Edit: Enables users to change tax schedule map information. Requires the List permission.

  • Delete: Users can delete tax schedule maps. Requires the List permission.

Contacts

  • List: Displays a list of contacts.

  • View: Users can see contact information.

Recurring transactions

  • List: Displays a list of recurring transaction templates.

  • View: Provides a read-only view for recurring transaction template details. Requires the List permission.

  • Add: Allows users to add recurring transaction templates. Requires the List permission.

  • Edit: Enables users to edit recurring transaction template details. Requires the List permission.

  • Delete: Users can delete recurring transaction templates. Requires the List permission.

Purchasing transactions

  • List: Displays a list of Purchasing transaction records.

  • View: Provides a read-only view for Purchasing transaction details. Users can also print or email Purchasing transactions. Requires the List permission.

  • Add: Allows users to add Purchasing transaction records. Users can also convert Purchasing transaction records into Purchasing invoices. Requires the List permission.

  • Edit: Enables users to update Purchasing transaction details. Requires the List permission.

  • Delete: Users can delete Purchasing transaction records. Requires the List permission.

  • Override exception: Allows users to override Purchasing transaction exceptions. Requires the List and Post permissions.

To see the Commitment compliance tab on Purchasing transaction details, assign the Compliance records List and View permissions.

Reverse conversions

This option is available only when you subscribe to the Construction application.

  • Enable: Allows users to reverse Purchasing conversions.

Print or email documents

  • Run: Enables users to print or email Purchasing transactions.

Compliance setup

This option is available only when you subscribe to the Construction application.

The Compliance setup permissions control the Compliance definitions and Compliance types features.

  • List: Displays a list of compliance definitions and compliance types.

  • View: Provides a read-only view for compliance definition information and compliance type information. Requires the List permission.

  • Add: Allows users to add compliance definitions and compliance types. Requires the List permission.

  • Edit: Enables users to change compliance definition information and compliance type information. Requires the List permission.

  • Delete: Users can delete compliance definitions and compliance types. Requires the List permission.

Compliance records

This option is available only when you subscribe to the Construction application.

  • List: Displays a list of compliance records.

  • View: Provides a read-only view for compliance record information. Users can also print or email compliance records. Requires the List permission.

  • Add: Allows users to add compliance records. Requires the List permission.

  • Edit: Enables users to edit compliance record information. Requires the List permission.

  • Delete: Users can delete compliance records. Requires the List permission.

To access the Primary document ID link, assign the Purchasing transactions View permission.

Permission Options

Purchasing transaction

  • Run: Generates the Purchasing transaction report. From the report, users can view, customize, process and store, print, email, and export reports.

Vendor exception

  • Run: Generates the Vendor exception report. From the report, users can view, customize, process and store, print, email, and export reports.

Receipt history

  • Run: Generates the Receipt history report. From the report, users can view, customize, process and store, print, email, and export reports.

Purchasing analysis

  • Run: Generates the Purchasing analysis report. From the report, users can view, customize, process and store, print, email, and export reports.

Purchasing recurring

  • Run: Generates the Purchasing recurring report. From the report, users can view, customize, process and store, print, email, and export reports.

Purchase price variance or invoice price variance

  • Run: Generates the Purchase price variance or invoice price variance report. From the report, users can view, customize, process and store, print, email, and export reports.
