Import data during company setup

Whether you are importing data into a company for the first time or simply updating existing data, importing data into your system is a two-step process: first, you download and populate a template, and second, you import the data from the template.

It's best to complete setup in the order listed in the Company setup checklist.

Download a template

Download a new blank template from the Company Setup Checklist whenever you import information into Sage Intacct. Using a downloaded template is important because:

  • Templates in the Company Setup Checklist are automatically customized based on your company configuration, including any dimensions and custom fields you created.
  • Templates can be updated by Intacct at any time, especially when a new version of Intacct is released. When templates are updated, an older template might not work upon import.
Some import pages include a link that lets you download a blank template directly (instead of getting the template from the Company Setup Checklist).

To download a template from the Company Setup Checklist:

  1. Go to Company > Setup > Configuration > Import data.

    The Company Setup Checklist opens. You’ll find a list of areas that you can import information into Intacct.

  2. Decide on a type of information to upload, and select the Template link associated with that information.

If you do not see the template that you want on the Company Setup Checklist, go to Download a CSV import template.

Some templates are not kept on the Company Setup Checklist.

To download an import template:

  1. Go to Company > Setup > Configuration > Import data.

  2. Select Template for the data type you want to import.
    For example, select Template on the Vendors line to download a template that enables you to import or update vendors.

    In addition to standard columns, the system dynamically appends columns for any dimensions you've enabled and any custom fields and custom objects you've created so that you can import that information as well.
  3. Populate templates with your company's information.
  4. Save the file as a CSV file.

Import data from the template

When you have populated your selected template, import the file. For information about importing CSV files, see Prepare your file for CSV import.

  1. Go to Company > Setup > Configuration > Import data.

  2. Locate the template you downloaded.
    For example, if you downloaded a Vendor template, locate Vendor and select Import.
    The system displays an import page.
  3. Select Choose File to select your populated template file.
  4. In Date format, select a format that matches the format in your CSV file.
  5. In File encoding, you can allow the system to auto-detect the type of CSV file format you are uploading or you can select a specific type from the list.
  6. To move on to other tasks while a large file uploads in the background, select the Process offline checkbox. The system will send you an email when it completes the upload.
  7. To receive an email with a list of data import errors, enter your email address in Email results to this address. This is also the email the system uses to notify you when the upload is complete.
  8. Select Import.
