Field descriptions: Contacts

The following is a description of the fields on the Contact information page and the Contacts list.

Contact information tab

Field Description

Last name

First name

Middle name

Prefix

Name details

Primary email address

Primary phone

The email address and phone number to be used for notifications for this contact. You can add a secondary phone number and email address in the Additional information tab.

Company Name

Name of the company associated with this contact.

Suggested contact name

The suggested contact name is the name that appears to users when entering transactions and filling out other forms. For example, if you enter AB Plumbing as the suggested contact name for a customer, this is the name that appears in the Customer dropdown menu on invoices.

The Suggested Contact Name must be unique throughout your company. This means that two contacts cannot have the same suggested contact name.

After you save, this field cannot be edited.

You can use any combination of alphanumeric characters and various punctuation (periods, hyphens, underscores, parentheses) in this field.

Double spaces are not permitted by Intacct and result in invalid contacts or contact records not appearing within dropdown menus. Using other special characters not listed here (such as # or %) can also result in an invalid contact.

Print as

The Print as field is the name that you want to appear on the following printed documents for this contact:

  • Bills
  • Invoices
  • AR statements
  • Advances
  • Adjustments
  • Checks
  • Expense reports
  • Expense reimbursements
  • 1099s

Print as applies only to the above output. For example, financial report outputs use Name, ID, or both depending on your selection.

Status

If Active, this contact can be seen and selected from the Contacts list.

Mailing information tab

The contact's full address information, including the country.

Latitude

Longitude

The latitude and longitude coordinates that identify the location of the contact, which can be useful when a mailing address does not exist.

  • Latitude: A value in decimal degrees from -90 to 90, with a scale of up to 8 decimal places
  • Longitude: A value in decimal degrees from -180 to 180, with scale up to 8 decimal places

These fields appear only if you use Avalara AvaTax and your AvaTax integration is configured to use latitude and longitude coordinates. Coordinates are sent to AvaTax to use as the addresses in the sales tax calculations. AvaTax returns results only if the latitude and longitude coordinates pinpoint a location within the United States.

For example, your company might deliver goods or services to a customer work site that's located in a rural area and has no meaningful street address. Using longitude and latitude coordinates for the customer Ship-to contact ensures accurate tax determination.

Additional phone numbers for the contact, such as mobile phone, page, and fax.

URL info

The web page addresses for the contact, if any.

Tax ID

The government tax number for this contact.

SIRET

French companies are identified by a SIREN and SIRET number.

The SIREN is a 9-digit number that identifies the company itself.

The SIRET is a 14-digit number that starts with the SIREN number of a company followed by 5 digits that identifies the company's physical location or branch.

Taxable

Select this checkbox if you want Intacct to calculate tax on transactions for this contact.

Tax solution

Select a tax solution for this contact.

Contact tax group

If this contact fits an existing contact tax group profile for how taxation occurs, you can select it here. The Contact tax group must exist prior to being added to this vendor.

Default tax schedule

Select a tax schedule to use as the default when calculating taxes in a transaction.
