About email templates

Email templates allow you to send documents by email with a standard message and consistent formatting. You can use them to automate common communications (such as monthly invoices, statements, purchase orders, or contract renewals), while still allowing flexibility when you need to customize a message.

Email templates support plain text, HTML markup, and merge fields. Merge fields pull transaction, customer, vendor, or company data directly into the email when it’s sent.

How email templates work

Using email templates typically follows this workflow:

  1. Create an email template

    Define the message content, recipients, and formatting for a specific transaction type.

  2. Assign the email template

    Select where the template is used, such as at the Accounts Receivable level, for specific customers or vendor, or for particular transaction definitions.

  3. Send emails using the template

    When you email documents individually or in bulk, Sage Intacct automatically applies the appropriate email template. You can override the assigned template at send time if needed.

How Intacct selects an email template

When an email is sent, Intacct determines which email template to use based on assignment priority. More specific assignments override more general ones. For example:

  • Templates assigned to customers, vendors, or transaction definitions override general defaults.

  • You can override the assigned template at send time without changing any saved assignments.

This hierarchy allows you to maintain consistent default messaging while still supporting exceptions, such as special notices or one‑time communications.
