Global search

Use global search to search for records across Sage Intacct objects. You can search for specific customers, vendors, dates, amounts, record numbers, and more. Use quick search to limit the search to one particular object, such as for bills or sales invoices. Use advanced search to search across multiple objects, search by a particular field in an object, or to use a search query.

You can only get search results for objects for which you have at least list and view permissions. Depending on your permissions and the type of record you searched for, you can edit or view the record from the search results page.

Intacct performs incremental indexes of your company's records approximately every half hour. You might need to wait to search for a recently created record until it has been indexed.

Global search is enabled by default for companies where the tenant type = production. Other types of companies, for example demo, sandbox, or preview, do not have global search enabled by default. If you want to use global search in a company other than a production company, ask your designated support user to contact Sage Intacct Support.

Quick search

Use quick search to focus your search on a specific object. For example, say you want to find an invoice for a particular amount. Or say you want to find all transactions that occurred on a particular date.

While you can choose to search across all objects in quick search, the search results might take a while to process. The best practice is to select one object when performing a quick search.

To perform a quick search:

  1. Select the magnifying glass located in the navigation bar in the top-right portion of the page.
  2. In the Search field, enter the value for which you are searching. For example, if you are searching for an amount, enter the exact amount.
  3. Use the dropdown list to select the desired object. For example, if you are searching for a particular bill, select AP Bill.
  4. Select Go.

    The Search results page appears and displays any records that matched the search criteria.

Advanced search

Use advanced search to search across multiple objects, search by a particular field in an object, or to use a search query.

To perform an advanced search:

  1. Select the magnifying glass located in the navigation bar in the top-right portion of the page.
  2. Select Advanced search. The Advanced search page appears and displays all objects to which you have at least list and view permissions.
  3. Select one or more objects that you want to search. If you want to search by a particular field, only select one object. For example, select Sales document to search for Order Entry sales transactions.
    See the Object glossary for custom reports if you are not sure which object is the one you want to include in your search.
  4. If you want to search by a particular field, use the dropdown list under Additional criteria to select the desired field. If you selected one object, the dropdown list displays all fields associated with that object. If you selected more than one object, the dropdown list only displays the fields that the selected objects have in common.
  5. If you want to change the default search operator, use the second dropdown to select the desired option. The search operators differ based on the selected field type. See Search operators.
  6. Enter the value that you want to search for in the third field.
  7. Select Search.

    The Search results page appears and displays any records that matched the search criteria. If there are many results, the display defaults to 10 records and shows the total number of records found in the top-right corner. For example, "Displaying 1 - 10 of 476". Use the page scroll links in the bottom-right corner to scroll through the pages.

    Select a column head to sort the display by that column.

  8. To further refine the search results, use the fields in the Search results and filtering section.

Search operators

You can use search operators in advanced search to refine and improve your search results. The search operators differ by the selected field type.

To use search operators in advanced search:

  1. In the Selected types section, select only one object. For example, select AP Bill Detail.
  2. In the Additional criteria section, select the desired field to search on, select the desired operator, and then enter the search value.

    For example, say you want to find a particular bill line item, but you're not sure of the exact amount. You think it was 400 and something. You could complete the fields as follows:

  3. Select Search.

Troubleshoot search

If you get 0 results, try the following:

  • Select only one object for which you know you have at least list and view permissions for the search query.
  • Check your spelling or the amount.
  • Verify the selected object is actually relevant to the search you are performing. For example, say you want to search for a bill line item that equals 50.00. If you selected AP Bill, Intacct will look at the bill total. If you select AP Bill Detail, Intacct will look at the bill line item amount.
  • If you never get any results for any query, there might be an issue with the indexing. Ask your designated support user to contact your Sage Intacct Support resource for assistance.
