Append new FY budget to an existing budget

Instead of creating a new budget for each fiscal year, you can append data for the new fiscal year to the existing budget. As a result, you will not need to update your financial reports that reference the budget. Instead, use the As of date to control which fiscal year appears in the report.

Prerequisites

Before adding budget data for a new fiscal year, you must set up the reporting periods for that year. When you create the reporting periods, make sure they have the Use for budgeting checkbox selected.

Reporting periods used for budgeting are typically monthly. Also, the reporting periods used for budgeting cannot overlap.

Append the budget data

To append the budget data, start by exporting the existing budget. You can then use the exported file as a template that includes the accounts and dimensions that you currently use to manage your budget.

  1. Export the existing budget:

    1. Go to Budgets > All > Budgets > Budgets repository.

    2. For the budget that you're going to modify, select Export.

      The Budget report page is opened.

    3. Select the Start period and End period for the fiscal year that you'll use as the basis for the new fiscal year budget—likely the current fiscal year.

    4. Select Export.

    5. Select CSV.

    6. Select Download the file.

  2. Modify the CSV file.

    1. Make a copy of the CSV file, and name it to reflect the budget that you're working on.

      Save the original downloaded file in case that you need it.

    2. In the copied file, add new columns for the reporting periods in the new fiscal year that you're adding.

    3. Update the budget amounts in the new columns for each account and reporting period.

    4. Save the file.

    5. Now that you've used your existing budget as a template and added columns for the new fiscal year, you should remove the columns for the existing fiscal year. If you don't remove the preexisting columns, the data in those columns will overwrite the data in Intacct.
  3. Import the CSV file.

    1. Go to Budgets > All > Budgets > Budgets repository.

    2. Select Import.

    3. Change the default values in the fields as needed.

    4. Select Choose file and then select the budget file.

    5. Select Import.

    6. Select Done.

You can now view and report on the budget data for the new fiscal year.
