Filter a list
Filter lists to view items in a way that's important to you. You can dynamically filter any list page in Sage Intacct based on specific values, standard operators, or recent records.
When you filter lists dynamically, the filters are not permanently saved. Use custom views to save different filters and use them again in the future.
You can filter any list page in Sage Intacct. For example, to filter the Vendors list, go to Accounts Payable > All > Vendors.
About filtering and sorting a list
Filter a list to find the information you need quickly. You can filter on columns by entering values and using operators. Also, you can include or exclude items by selecting one or more checkboxes at the top of any list.
Most list pages have a standard view that displays a default set of columns that are sorted alphanumerically. For example, the standard vendors list show vendors based on the Vendor ID column.
If you need a list that has specific information that you want to see, learn how to add a custom view. Custom views allow you to customize a list with filtering built in it to suit your specific needs.
Filter by entering a value in a column
Enter a value in a column header to display only those list items that contain the specific value. You can use the wildcard character % to filter text columns only; the wildcard character % will not work on non-text columns, such as date or amount columns.
Use the % character as a wildcard to match zero or more characters in text columns.
Examples:

bank% will display all vendors that have "bank" at the beginning of the name, like Bank of Metropolis.

%bank or %bank% will display all vendors that have "bank" anywhere in the name, like Bank of Metropolis, Metropolis Bank, and MetroBank.

% bank will display all vendors that end with the word "bank", like Metropolis Bank.
- Go to the list page of interest.
- In the text field above the column that contains the value, do one of the following:
- Enter the first part of the value.
For instance, if the value begins with "San", type San to include records with a value for this column of San Jose, San Francisco, Santa Fe, and so on. - Enter the wildcard character % and then a portion of the value to view all items containing that portion of the value.
For example, you use a naming convention for your invoice summaries, such as "Invoices: Month Year." If you want to find all June summaries, enter %June in the field at the top of the Summary column.
- Enter the first part of the value.
- Select Enter beside the field.
Intacct displays only those list items that match the text you entered.
Filter using operators
Use advanced filtering to apply standard operators to columns to view specific types of items. For example, if you want to view only those vendors or customers who are located in New York, you can apply an equals (=) operator to the State or territory column, and enter NY. Furthermore, you can use more than one filter operator to see exactly what you want to view.
When using advanced filters, be aware that each filter operates as an AND to the previous filter. For example, you are filtering through your invoices and add the filter Date equals 12/01/16 on a line. Then, you add the filter Date equals 12/31/16 on a separate line. Because each filter operates in addition to each other, your list will show no records. Remove one of the filters to show the records that you want to see.
- Go to the list page of interest.
- Select Advanced filters.
- Under Column, select the column of interest, for example, State or territory.
You can only choose columns that are found in the list view. - Under Operator, select a standard operator, such as equals.
You can choose from the following operators.Advanced filters operator descriptions Operator Description Equals Column filters for records equal to the set Value. Columns = Value Is less than Column filters for records less than the set Value. Columns < Value Is greater than Column is greater than the set Value. Columns > Value Is less than or equal to Column is less than or equal to the set Value. Columns ≤ Value Is greater than or equal to Column is greater than or equal to the set Value. Columns ≥ Value Does not equal Column does not equal the set Value. Columns ≠ Value Contains Column contains the characters set in Value. If your Value is CA for a State or territory column, then only records connected to CA are displayed. Does not contain Column does not contain the characters set in Value. If your Value is NY for a State or territory column, then all records not connected to NY are displayed. Starts with Column starts with the characters set in Value. For instance, you might know your customer's first name is John, but do not know his family name. You could filter for John and check for the right record from the filtered list. Ends with Column ends with the characters set in Value. For instance, you might know your customer's family name, but do not remember their first name. You could filter for Garcia and choose the right record from the filtered list. Includes Column includes the characters set in Value. For example, you might not remember the full name of a customer company. You could filter to include the part you know. Then, scan through the included records on the filtered list to find the correct record. Excludes Column excludes the characters set in Value. For instance, you might have Trade vendors and Contractor vendors. You only want to see your Contractor vendors, so you can exclude all Trade vendor types. Is empty Column field equals null. In this case, you do not have to set a Value. For instance, you might be looking for Projects missing a Project status. You could filter your view to return records with a null value for their Project status. Is not empty Column field does not equal null. In this case, no Value is required. For instance, you might want to see all customers that have an associated Customer type ID. You would then filter to see all Customer type IDs with an associated value. - Under Value, enter the specific value that you want to find, such as NY. You can only enter one Value per filter row.
- Add as many criteria as you need.
Remember, each filter row operates in addition to all other filter rows. For example, you might only want to generate a list of vendors who are located in New York, NY. You would repeat the above process using City equals New York. - Select Apply in the Advanced filters box to see your filtered list view.
To add more filter fields, select Add Filter in Advanced filters. To remove the most recently added filter, select Delete Last Filter in Advanced filters.
Filter for recent records
Intacct provides a set of standard views for quickly displaying list items that you recently modified or viewed. Use one of these views to filter or shorten the list to only recent records.
- Go to the list page of interest.
- Select the All dropdown menu.
- Select Recently viewed, Recently modified, or All recently modified.
- The list displays only those records that you have recently viewed or modified.
- The list is tied to your individual activity within this group of records.
- If you have not yet interacted with these records, filtering for recent activity will not return any records.
To return to a view of all records, select the menu dropdown arrow, and select All.
Filter by state
List views of transactions provide a one-stop shop for viewing and accessing all transactions of a specific type, for example, bills or invoices. But what about finding transactions that are in a specific state, such as draft, paid, partially paid, and so forth?
There are two easy ways to locate transactions in a specific state:
- Filter for the transaction state on the fly: In the transaction list view, enter the state in the State column, then select Go. The list displays only those transactions in that state.
- Create a permanent custom view that filters for the transaction state: Create the view, and set the filter to State = <state>, where <state> equals the state you are seeking, such as Draft, Posted, Paid, Reversed, and so forth. This custom view is always available from the transaction list.
Clear filters
If you have applied any type of dynamic filtering, you can return to your unfiltered view by selecting Clear all filters at the top of the list.
Clearing dynamic filters does not impact filters built into custom views.
