View, edit, or delete items

To view, edit, or delete items, open the Items window. It is accessed from Order Entry, Purchasing, Inventory Control, and, if enabled, Projects or Contracts.

Viewing items in a multi-entity environment

To view items used by more than one entity, go to the top level.

What does "Not Owned" mean?

In a multi-entity company, shared records such as customers, vendors, and other items can be edited only at the top level of a company. Some journal transactions, for example, recurring journal entries created at the top level, are also owned at the top and can't be edited from within an entity.

If you display the list of shared records (customer, vendor, or entry) within an entity, you can see the shared records in the list. However, these will be listed as Not owned by the entity and the Edit option won't appear. Move to the top level, which owns the record, to make any changes.

View or edit an item

  1. Go to Inventory Control, PurchasingOrder Entry, Contracts, or Projects > All > Items.

  2. Find the item that you want to view or edit.

    You might need to use the sort or search functions to find the item.

  3. Do one of the following:

    • Select More actionsView at the end of the row.

    • Select Edit at the end of the row.

  4. Make your changes.

  5. Select Save.

  2. Select View next to the applicable item.

    You might need to use the sort or search functions to find the item.

    The Item information page appears in read-only mode. However, you can use the buttons at the top of the page if you want to edit, print out, or duplicate the information.

Delete an item

  1. Go to Inventory Control, PurchasingOrder Entry, Contracts, or Projects > All > Items.

  2. Find the item that you want to delete.

  3. Select More actions > Delete at the end of the row.

  4. Select Delete to confirm.

    Depending on your user preferences, you might need to select OK to confirm the deletion.
