View item inventory quantities

You can see how many items are available for fulfillment on the item record. The total of the various quantities are displayed in the header and then broken down by warehouse in the warehouse section. The quantity that is uncommitted helps you understand the quantity that you have on hand that is not yet used for any other orders.

  1. Go to Inventory Control or Order Entry > All > Items.
  2. Locate the desired item, and select View.

    The Item information page appears. The header displays the total for each quantity type across all warehouses. You can see quantities by warehouse lower in the page in the Warehouse section.

If you’re already on the Fulfillment page and have selected the hyperlink in the No. of lines field to drill into the line items for the order, select the Item ID hyperlink on the Order Details page to open the Item information page.

The following table describes the quantities that are displayed.

Displayed quantities field descriptions
Field Description
In transit The quantity of the item that is currently being moved from one warehouse to another with in-transit warehouse transfers. The total is increased for the destination warehouse when the inventory is transferred out of the source warehouse. The total is decreased when the inventory is transferred in at the destination warehouse.
On order The quantity of the item that's currently ordered but not yet received. Depending on how quantity available is calculated, the quantity on order might be available to be presold.
On hand The quantity of the item in your warehouses. The quantity is the quantity that has been received in your warehouses minus the quantity that has been shipped from your warehouses.
On hold The quantity of the item that is currently entered into sales orders but not yet shipped or invoiced.
Available

The quantity of the item that's available for use. It's calculated as one of the following, depending on how Inventory Control is configured:

  • On hand - On hold
  • On hand - On hold + On order
  • On hand - On hold + In transit
  • On hand - On hold + On order + In transit

Reserved

The quantity that's been set aside to fill sales orders. Reserved quantity is considered to still be on the warehouse shelves and no longer available for other orders.

Reserved quantity is increased by these two activities:

  • Entering a value in the Quantity reserved column for a line item in a sales order.
  • Changing the status of a sales order in Fulfillment from Open to any other status. The reserved quantity is increased by the ordered and uncommitted quantity. If there's not enough on hand and uncommitted quantity, Sage Intacct only reserves the available quantity. For a non-tracked item allowed to go negative, the reserved quantity is increased.
Allocated

The quantity that's been assigned to fill sales orders. Allocated quantity is considered to be picked from the warehouse shelves, dedicated to specific orders, and not available to be used anywhere else.

Allocated quantity is increased by these two activities:

  • Entering a value in the Quantity picked (Allocated) column for a line item in a sales order.
  • Entering the picked quantity or packed quantity for a sales order in fulfillment (whichever quantity is entered first). The quantity reserved is decreased by the quantity that's picked or packed.
Uncommitted The quantity that's on hand and is not committed to any sales orders. Use this quantity to determine whether you can fill other orders.
Uncommitted = On hand - Reserved - Allocated
