Replenishment overview

Rather than manually tracking stock levels and creating purchase orders, replenishment provides system‑generated recommendations to ensure inventory is restocked at the right time and in the right quantities. It brings together demand signals, item and warehouse attributes, and vendor information to determine when inventory levels are no longer sufficient and purchasing action is required.

After you review and accept the reorder recommendations, Sage Intacct generates purchase orders based on your standard purchasing controls and workflows. This ensures replenishment activity remains aligned with approval policies, audit requirements, and vendor communication practices already in place.

If you primarily use Supplies Inventory, you can use the Supplies Workbench to generate a replenishment report specifically for your supplies items.

For each replenishment method that can be selected for an item and item-warehouse combination, Sage Intacct suggests the most economical quantity to order—the quantity that minimizes both the total holding costs and total ordering costs. Additionally, items that can be bought from the same vendor are combined into the same purchase order if the transaction currency is the same and, in multi-entity environments, if the warehouses are in the same entity.

Before you replenish inventory

Before using replenishment, first define your replenishment settings on the Configure Inventory Control page.

Settings include the key attributes for replenishment items and item-warehouse combinations, and the filters you want to set. When the filters are applied the replenishment table in the page displays which items to order per warehouse, from which vendors, and the quantity to purchase.

Step 1. Set filters and review reorder information

The Replenish inventory page contains many filters to let you narrow the focus for inventory sales items to reorder. For example, you might only want to generate reorders for a specific product line, a specific warehouse, a specific vendor, and so on.

You can drill down on each item to see the item details, see vendors who can fulfill the order, and verify all the associated reorder details.

Step 2. Select items and edit reorder details

At the top of the Replenish inventory table, you can see a summary of the total purchase amount (in the base currency) of the items being reordered, the number of items being reordered, and the number of purchase orders that will be created to order the items. Sage Intacct combines the items being reordered from the same vendor into one purchase order if the transaction currency is the same and, in multi-entity environments, if the warehouses are in the same entity.

Step 3. Generate the purchase orders

After you've selected the items to reorder and have edited any reorder details for the items, you're ready to generate the purchase orders to replenish the inventory items. Sage Intacct runs an online or offline process to create them.
