Considerations before restricting work to the top level only
Administrators can configure Sage Intacct for working at the top level only. Working at the top level provides greater transparency and visibility into transactions, regardless of the entities involved.
You can find the setting, Enable access to top level only, in Multi-Entity Management. The setting applies to all multi-entity companies, including those provisioned with a single entity.
Hidden UI components
When restricting access to the top level only, the following user interface components are hidden:
- Entities:
- Drop-down list on the dashboard of the Sage Intacct home page
- Entities menu
- Entity slide-in menu is disabled
- Pay bills > Pay by entity
- Entity details on the Pay by entity filter
Consider the following, before restricting access to the top level only:
- Business needs
- Applications that work only at the entity level
- Users restricted to particular entities
- For single currency companies only
- Restrict subledger transactions to the entity level only
Business needs
Consider your business needs when examining the option of working at the top level only. In many companies, the transparency provided by working at the top level is more efficient and useful when running reports and creating transactions in different entities. For other companies, the granularity of working at the entity level is more appropriate.
Applications or features that work only at the entity level
If your company uses the following, you'll need to continue work at the entity level:
-
Projects > Generate invoice
-
Credit card transactions
-
Recurring transactions
-
Credit card register
The Credit card register works at the entity level only. However, you can still view credit card transactions when working at the top level by navigating to Cash Management > Credit card transactions.
Users restricted to particular entities
If working at the top level is the best path forward for your organization, ensure that any users restricted to particular entities can access the top level. You can enable individual users to access the top level by selecting the Enable access to top level on the User entities tab of the User information page. Any users restricted to two entities or more can access the top level by default. Users restricted to a single entity can access the top level as long as Enable access to top level is selected for that user.
For single currency companies only
Working at the top level means working with a single base currency only. If you need to work with multiple base currencies, you'll need to enable working at the entity level instead.
Restrict subledger transactions to the entity level only
Selecting the options to restrict transactions to the entity level enables users to enter transactions at the entity level only.
Restricting transactions to the entity level only means users cannot work at the top level. Restricting General Ledger transactions to the entity level means that users lose all inter-entity automation in the General Ledger. Consider carefully this loss of functionality before choosing to restrict General Ledger transactions to the entity level..
Unrestricted users can still view top level transactions that were created before restricting subledger transactions to the entity level. Unrestricted users can also see all entity level transactions per entity by selecting Include private.
Restricted users who can access more than one entity can only see transactions for those entities they can access.
As a best practice, ensure any users restricted to a single entity can access the top level of the company. Go to Company > Admin > Users, select Edit next to the relevant user. Then select User entities > Enable access to top level for each user who needs to access the top level.
