Schedule a custom report—ICRW

Use the Schedule Report page to create a schedule to run a memorized report automatically. For example, you could create a schedule to run an Interactive Custom Report Writer (ICRW) on a weekly or monthly basis. The option to schedule a report applies to previously saved reports.

When a scheduled report is generated, it can be delivered by your choice of methods. You can choose to email the report. You can also send the report to a cloud storage target, an HTTP address, or store the report in Intacct.

Scheduled jobs run based on the time zone set for the company, not the user who scheduled the job. Be sure to check your Company information and adjust the schedule accordingly.

Prerequisite

Save your ICRW report and add it to an application menu, then memorize the report. You can then create a schedule for the report.

Save and add a report to an application menu

After you save a report, you can add it to an application menu. This allows you to quickly access the report from the Reports center or the application navigation bar.

  1. Find the report in the list of ICRW reports and select Add to menu.
  2. On the page that appears, make sure that the report name is correct.
  3. In the Application dropdown menu, select the application from which to access the report.
  4. Enable Add to menu.
  5. Select Save.

Memorize a report

You can schedule a report after it is memorized.

  1. Go to Reports > All > Advanced > Interactive Custom Reports.
  2. Find the report that you want to memorize and select Run.
  3. When the report appears, select Memorize in the upper right corner.

    You might be prompted for runtime information.

  4. Name the report and optionally enter a unique description for future reference. It does not have to be the same name as the saved report.
  5. Select the Public check box to make the report public, or leave it deselected to keep it private.
    Reports that are not Public can be accessed only by the report owner and admin users with the right permissions. Making a report Public enables any user with the right permissions to see and edit the report.
  6. Select OK.

Create a schedule

For each memorized custom report, you can create a different schedule and choose how the report is delivered. For example, you might email the report to yourself and selected people. You can also send the report to a Dropbox folder where it can be accessed by others.

  1. Find the report on the list of Memorized Reports, and select Schedule.

    Memorized reports can be accessed through the Reports center by selecting Reports on the Application menu.

  2. Optionally, use options in the Filters sections to filter the report by department, location, or entity or set a different As of date.
    • You can use Department or department group and Location or location group as filters. If you leave the filters blank, the scheduled report is run for all departments and locations.
    • Leave the As of date blank to use the current date (the date on which the scheduled report is run) as the As of date for the report. If you enter an As of date, that date will always be used regardless of when the schedule is run.

  3. Set up a Schedule for when you want to run the report.
    • For the Start Date, select the first date on which the report will be generated.
    • For the Ends option, select when the schedule will stop running, either as a date or number of occurrences. To continue running the report indefinitely, select Never.
    • Use the Recurrence options to select how often the report will run after the Start Date: daily, weekly, monthly, or yearly.
  4. Select one or more Delivery options: email the report or store the report in Intacct.
  5. Select Save to save and enable your schedule for the report.

About the schedule for running the report

  • When you schedule a report, it runs based on the schedule you create, using the report filters and settings you set.
  • You can pick the day of the week or the day of the month on which to run a scheduled report using the Start date. You cannot pick a specific time of day at which to run the scheduled report.
  • Scheduled jobs run shortly after midnight in the time zone set on the Company information page, unless a global offset is included. Scheduled recurrences adhere to this setting. However, jobs with past dates and jobs that are run offline aren’t constrained by the offset.

Filters: the "As of date"

When you select the schedule to run a report, the "As of date" tells Intacct to run the report as if it's the "As of date" you specify here.

When you leave the "As of date" blank, Intacct uses the date on which the report was run as the current date.

Schedule: Start, end, and recurrence

These settings allow you to start the schedule, and tell Intacct how long to keep it active. The first report is generated on the start date you select and continues at the selected recurrence until the "end on" date is reached.

  • Start date: The start date is the date on which to start running scheduled reports. The start date also tells the scheduler to run the report each time the start date detail recurs, based on the recurrence selection. For example, if you set the start date to the 10th of a month and the recurrence to Monthly, the report runs on the 10th of each month. If you select a start date on a Tuesday and a recurrence of every 3 weeks, the report runs every third week on Tuesday.
    When editing an existing schedule, the start date is not automatically changed. If you do not change it, the schedule will restart from its original start date, and all reports after that date will be generated again. If the start date is far in the past, or you have a frequent recurrence, this might be a large number of reports.
  • End date: Set the date on which the scheduler stops running the report. The report runs the last scheduled time before the end date is reached.
  • Recurrence: The recurrence option tells Intacct how often to run the report after the schedule starts running: daily, weekly, monthly, or yearly. Based on the recurrence you choose, you'll see further selections, such as the following:

    - Weeks: Choose how many weeks will pass between scheduled runs--every 2 weeks, every 10 weeks, and so on.

    - Month: Set the number of months between running the report, and whether or not the schedule runs at the end of the month.

    - Following General Ledger close: Choose to run when the close completes, for example, at the end of every month.
