Commit quantities during order entry feature is now generally available

When you create a sales order, you might want to enter the quantity to reserve for an item or the quantity that's already been picked (allocated) for an item. The entered quantities are committed to the order and can no longer be used anywhere else, such as by other sales orders or fulfillment activities.

For example, you get a call from a plumber who is at a job site and needs some parts to finish the work. They'd like to stop by your warehouse office to pick up those parts on their way home. When you enter the sales order, you can reserve the quantity for the needed items. After you go into the warehouse and pick those items off the shelves, you can then update the sales order to indicate that the items have been picked.

Or, you have a customer who does high-volume business with you. When you enter sales orders for this customer, you want to reserve quantity for the orders. With the quantity for the orders reserved, you know you can ship the orders when the customer needs them, maintaining customer satisfaction for continued business.

Details

When the transaction definition for a sales order is enabled for reserving and picking inventory items, two fields appear for line items in the Entries section:

  • Quantity reserved – The quantity that's set aside to fill the item. Reserved quantity is considered to still be on the warehouse shelves but no longer available to be used elsewhere.
  • Quantity picked (Allocated) – The quantity that's been picked to fill the item. Picked quantity is allocated quantity. It's no longer considered to be on the warehouse shelves and no longer available to be used elsewhere.

You can enable sales orders for both reserving and picking (allocating) quantities and for fulfillment.

If you are a smaller organization, reserving and picking (allocating) quantities directly in the sales order might be all that you need. You can create a sales order and then edit the sales order for any changes to the reserved or picked quantities before converting the sales order to the next transaction in the workflow.

If you are a larger organization, you might want the ability to immediately reserve and pick (allocate) quantities when a sales order is created, before it starts to move through the fulfillment. Learn more about Fulfillment for sales order management.
