Set up a termed contract to renew to an evergreen contract

You have the flexibility to renew a termed contract into an evergreen contract. A termed contract has both start and end dates. An evergreen contract does not have an end date.

You might want to do this in the following scenarios:

  • You have a subscription that starts with a fixed term and then transitions to a monthly, quarterly, or annual subscription. For example, say you have a customer who signs up for a product trial period of 6 months at a fixed price. After the trial period, the product is billed monthly until the user terminates the contract.
  • You have a current termed contract in Intacct that you want to change to evergreen to streamline contract management.

Set up a termed contract to renew to an evergreen contract

You can set up contract renewal information when you create a new contract or you can edit an existing contract. The following procedure assumes you are editing an existing "In progress" contract to include renewal information. See the Requirements table for prerequisites.

All contract lines renewed to an evergreen contract will use the "Evergreen revenue" revenue template, regardless of the revenue template assignment in the source contract.

  1. Go to Contracts > All > Contracts, and select Edit next to the desired contract.
    The contract State must be "In progress". If the contract State is "Not renewed", see Reset a "Not renewed" contract to "In progress".
  2. In the Contract page, select the Renewals tab.
  3. Select the Renew checkbox.
  4. Select Evergreen as the Renewal contract term type.
  5. Use the dropdown list to select the desired Evergreen template.
  6. Select Save. The contract list appears.
  7. Select Edit next to the contract again.
  8. In the Contract lines table, select the pencil icon next to a contract line that you want to include in the renewal.

    The Contract line popup window appears.

  9. Select the Renew checkbox.

    You can only select the Renew checkbox for contract lines with Non-inventory or Non-inventory (sales only) items and that have the following selected options:

    For Billing method = Fixed price:

    • Flat/fixed amount frequency = Include with every invoice

    For Billing method = Quantity based:

    • Quantity type = Variable
    • Flat/fixed amount frequency = Include with every invoice
    • Reset usage quantity = After each invoice
    • Usage quantity recurs = false

    Contract lines without these settings will end when the termed contract ends.

  10. If you want to set one or more custom prices for renewal, select the Auto-renewal tab and enter the specific renewal prices in the Override evergreen amounts table. See Override evergreen billing amounts for more information.

  11. Select Save to save the contract line.
  12. Repeat steps 8 - 11 for each contract line that you want to include in the renewal.
  13. If you want to add a "Renewal only" line to the contract, select Add located above the top-left corner of the Contract lines table and add the line as outlined in the Add a "Renewal only" contract line section.
  14. When you are finished, select Save to save the contract.

If the contract has both termed and recurring contract lines

If the contract you want to renew as an evergreen contract also has termed contract lines that should renew, do the following instead of renewing the contract to an evergreen contract:

  1. Create a new evergreen contract for just the recurring contract lines.
  2. Then set up the termed contract lines to renew into a termed contract.
