Standard field mapping

Data between Intacct and Salesforce is synchronized by mapping fields from one application to the other. Use the standard field mappings provided, or create custom mappings between Intacct and Salesforce.

There's a one-to-one relationship between fields in Intacct and Salesforce. You cannot map multiple fields in one application to a single field in the other application.

To view standard and custom field-mappings, go to the Advanced CRM Integration configuration page in Intacct. On the configuration page, use the link in the Field Mapping section of the object that you want to configure.

If a field is inactive in Intacct for either a standard or custom field mapping, it will not sync between Intacct and Salesforce.

Standard objects

The following are the standard objects in Intacct that can be synchronized.

The Salesforce objects reflect data contained in Intacct. For Intacct required fields on these objects, you can’t change the sync direction. However, for non-required fields, you can change the source of synchronizations based on the needs of your integration.

Managed lists

Intacct provides custom objects in Salesforce that are used primarily as picklists and are read-only. As you synchronize different aspects of Intacct to Salesforce, you’ll begin to see the following managed lists:

  • AR Terms
  • Billing Templates
  • Class
  • Department
  • Employee
  • Entities and Locations
  • Exchange rate type
  • Project status
  • Project Templates
  • Project type
  • Renewal Templates
  • Territories

A managed list is a list of options that you can select in Salesforce, but the options on the list are managed and maintained in Intacct.

Override standard field mappings

To override standard field mappings, create a custom field mapping using the standard fields. You then select different sync options, such as a different Salesforce field and sync direction. You can only override standard field mappings for Accounts, Contacts, Contracts, and Contract lines.

You cannot override required Intacct fields using this method. Required fields cannot be remapped or have their sync direction changed.

For example, if you do not want to use the Intacct default for email addresses on a Salesforce Account record, you could do the following:

  1. Log in to Sage Intacct as an administrator.
  2. Go to Company > Admin > Subscriptions > Advanced CRM Integration and select Configure.

  3. On the Settings tab, in the Synchronization options > Accounts section, use the Accounts link under Field mapping. The field-mapping dialog box opens.
  4. In the Custom mapping section at the bottom of the page, select Email from the Salesforce Field dropdown. Add a new row to the custom field mapping table if necessary.
  5. Select an alternative to the default email mapping from the Intacct Field dropdown.
  6. Save your changes.

Custom field mappings exclude ID fields from selection. ID fields are required fields in Intacct, so ID fields not allowed to be overridden with a custom field mapping.

Change Sync Rule

If the Sync Rule of a standard field mapping can be changed, a dropdown menu becomes available for use when you select the field line. Use this menu to select which direction the field syncs. The options are:

  • From Intacct
    The data source for the field is Intacct.
  • To Intacct
    The data source for the field is Salesforce.
  • Bi-directional
    When one field is updated in either application, the corresponding field in the other application is also updated upon sync.
Intacct ID fields, such as Account or Contract ID, cannot be overridden using a custom field mapping, and are always set to Active status.

Change Status

If the Status of a standard field mapping can be changed, a dropdown menu becomes available for use when you select the field line.

Use this menu to deactivate fields you do not need to sync between Intacct and Salesforce. The default setting is Active.

  • Active (default)

    When Active, information for a field is synced between Intacct and Salesforce, depending on the sync direction.

  • Inactive

    When Inactive, information for a field is not synced between Intacct and Salesforce.

Intacct ID fields, such as Account or Contract ID, cannot be overridden using a custom field mapping, and are always set to Active status.

Reset field mapping defaults

If you need to reset field mappings to the default settings, go to More actions > Reset default field mapping. You will be prompted to confirm that you want to reset all your field mappings for a specific area, such as Accounts. After you confirm, all field mappings for the selected area will be restored to their default settings.
