View AP advances

On the AP advances list page, you can track advances throughout the workflow, from creation through to application. From here, you can view details of an advance to see how it was posted to the General Ledger and applied to AP supplier invoices.

  1. Go to Accounts Payable > All > Payments > Advances.

    The list of AP advances appears.

    • Top level view: If you're viewing transactions from a top level company, you only see transactions created at the top level. To view transactions created at the entity level, select Include private.
    • Entity view: If you're viewing transactions within an entity, you only see transactions created within your entity. To view transactions created for your entity at the top level, select Include top-level transactions.
  2. Find the advance you want to view.
  3. Select More actionsView at the end of the row.

    The AP advance detail page opens.

    For submitted and posted advances, a summary header shows whether the advance has been paid, how much has been applied to AP supplier invoices, and the state of the advance. Tabs provide additional information.

    Do you have a long list of advances to scroll through? Learn how to filter the list to quickly find the advance you want.
  4. Select the tab containing the information you want to view.
    • Advance information: Shows the details you entered when you created the advance.

    • Posting details: For paid advances, this tab shows how the advance posted to the General Ledger.

    • Applied AP supplier invoices: For advances that have been partially or fully applied, this tab lists the AP supplier invoices where you applied the credit. Select a AP supplier invoice number to drill down to AP supplier invoice details.

    • History: This tab shows details of each action taken on the payment request associated with the advance.

  5. Select Done to return to the AP advances list.

  2. To view the details of an advance, locate the advance you want to see and select View.

    The AP advance detail page opens.
