Customize line-item entry fields

Make AP supplier invoice entry more efficient by configuring the line-entry fields to match how you work.

Set default values for line items

When entering an AP supplier invoice with many line items that share the same dimension values, you can save time by setting default values first.

For example, say you are entering an AP supplier invoice with 50 line items, where most lines are for the same Department and Location. Before entering the line items, set the default values to the Department and Location that you want and apply the defaults. Then, as you enter line items, you'll see that Department and Location are prefilled on each line. You can override the defaults for any line that needs different coding.

Default values that you apply are used only for the AP supplier invoice you are currently entering. The values cleared for subsequent AP supplier invoices.
  1. In the Entries section of the transaction page, select Show defaults.

    The Entries area expands to display all fields for which you can set line-item defaults. The type of fields that can appear here depend on your company set up.

  2. Select the dropdown for any field that you frequently use the same value for and select that value.

  3. Select Apply defaults above the first line item.

    The value that you selected appears in every line or in the line item detail of every line, depending on where the field is located. You can manually override this value for any line item.

Add, remove, and rearrange line-item fields

If you are an administrator with full privileges and are assigned the relevant permissions, Intacct enables you to customize field placement on a line-item table. You can move fields between the line item and its detail area and rearrange the order. For example, if your company uses some dimensions more frequently, you can display the frequently used dimensions, including user-defined dimensions, at the line level. Also, you can move the less frequently used dimensions to the line-item detail.

Any change made to the display of line items in a transaction-entry page affects all users of that page.
  1. In the appropriate transaction page, select the More actions dropdown and select Edit entries layout.

  2. Select the line item of interest.

    The Show Details tab appears.

  3. Select Show details.

    The line item details appear in a dropdown.

  4. Select and drag a field to move it to or from the line-item level.

  5. Select Save layout.
