Field Description

Sender name

The sender contact name included with the email.

This field defaults to your user profile information. You can update the contact settings in the Accounts Receivable configuration to set default sender information for all users, regardless of who sends the email.

Sender phone number

The sender contact phone number.

This field defaults to your user profile information. You can update the contact settings in the Accounts Receivable configuration to set default sender information for all users, regardless of who sends the email.

Marketing text

Custom messaging can be added to the printed or emailed AR sales invoice. This text appears toward the top of the page above the date line. The default for this text is set via the Company Information page. However, you can temporarily override it here.

Message text

Custom messaging can be added to the printed or emailed AR sales invoice. This text appears toward the bottom of the page above the footer line. The default for this text is set via the Company Information page. However, you can temporarily override it here.

Deliver to all available email addresses

Send the email to all listed contacts for the customer company.

The closing date of a date range to filter by.

A standard report field not used in this task.

Reporting period

A standard time period such as current month, current quarter, and so on.

Previously sent

Also include AR sales invoices that were previously printed or sent via email.

Partially paid

Only include AR sales invoices that are partially paid.

Fully paid

Only include AR sales invoices that are fully paid.

Debit memos

Also include debit memos in the list of AR sales invoices.

Credit memos

Also include credit memos in the list of AR sales invoices.

Zero amount transactions

Also include transactions with a zero amount in the list of AR sales invoices.

From customer

The opening customer of a customer range to filter by.

To customer

The closing customer of a customer range to filter by.

Show for

Filter the subset of the From/To customer selections:

  • All customers: Selects the customers in the specified range, plus their child customers that are out of the range
  • This customer: Selects only the customers in the specified range
  • Child customers: Selects only the child customers for the parent customers in the specified range, both child customers in and out of the range

Aging currency for custom AR sales invoices

The AR sales invoice aging buckets are calculated, then printed or emailed based on the following options:

  • Base currency: This option is the default.
  • Transaction currency

This option appears if your company is multi-currency, and is relevant only if you use a document template that includes the Aging merge fields.

Summary

Only include transactions from a specific summary.

Transaction currency

Only include transactions in a specific currency, such as USD.

Printed document template

Use the dropdown list to select a printed document template to use for the printed output (PDFs) for all selected AR sales invoices for this print or email process.

Your company may have a default AR AR sales invoice printed document template assigned in the Configure Accounts Receivable page. Additionally, each customer may have different printed document templates associated with them. This field overrides both settings for this print or email process.

To see a sample of the format, select Find to display the Select printed formats pop-up window, and then select the Preview link. If you do not select a template, the standard template format is used unless a specific document template has been selected for AR sales invoices for a customer.

Email template

Use the Email template selection list to select an email template to use for all selected transactions for this email process.

Your company can have a default AR AR sales invoice email template assigned in the Configure Accounts Receivable page. Additionally, each customer can have email templates associated with them. This field overrides both settings for this email process.

The maximum file size for an attachment in an email is 20 MB. Learn more about email templates.

Sort by

How to sort the list of filtered AR sales invoices. Move fields that you'd like to sort on from the left to the right. You can rearrange the sort order if you choose more than one field.

  • Name: Name of the customer, which is the default
  • AR sales invoice no: The number of the AR sales invoice.
  • Created date: The date the AR sales invoice was created.
  • Due date: The date payment is due.
  • Amount due: The amount owed.
