Add change management documents—Construction

Learn how to add construction change management documents by creating transaction definitions for change orders.

The Change management options only appear when you select order as both the Template type and Workflow category. You can enable change management on a transaction definition with existing transactions, but you cannot disable change management if transactions exist. Enabling this option allows you to indicate whether the transaction definition's document type is a source or change order document.
When you add a source document, you can include a custom exchange rate, a set rate, or the daily Sage Intacct rate. Then, any change orders created from that source document inherit the specified exchange rate for the life of that document, regardless of any future rate changes.

Add Purchasing change management documents

Create purchasing change documents like subcontracts, purchase orders, and related change orders. You can set up transaction definitions to support subtotals and track the cost impact of changes on Purchasing source documents.

About subtotals:

Enable subtotals on Purchasing source documents using a new transaction definition that has no existing documents attached to it. Use this transaction definition for any new Purchasing documents going forward.

You cannot enable subtotals on change order transaction definitions directly. However, if linked to a single source transaction definition, change order transaction definitions inherit subtotal settings from that source.

  1. Go to Purchasing > Setup > More > Transaction definitions > Create.
  2. Select Order for the Template type.
  3. Select Order for the Workflow category.
  4. Give the template a descriptive name.

    For example, "Subcontract" or "Change order".

  5. In the Change management section, select Enable change order workflow.
  6. Select whether this transaction definition is a Source document or a Change document.
  7. If you selected Change document, select one of the following options:
    • Change multiple source documents (no subtotals): Do not include subtotals from change documents on source documents.

    • Change single source document (sync source subtotal options): Copy subtotal items on the source document to the change document and view as read-only.

  8. Select Save.

Add Order Entry change management documents

Create order entry change documents like sales orders and related change orders. Subtotals are not supported for these documents.

  1. Go to Order EntrySetup > More > Transaction definitions.
  2. Select Order for the Template type.
  3. Select Order for the Workflow category.
  4. Give the template a descriptive name.
  5. In the Change management section, select Enable change order workflow.
  6. Select whether this transaction definition is a Source document or a Change document.
  7. Select Save.
