Compliance checklists—Contracts

A user with the appropriate permissions can enter sign-off details for a checklist item, providing an audit trail of task completions.

About the contract compliance checklist

Each Intacct instance can have one contract compliance checklist. An admin usually creates the checklist tasks and determines the order that they should appear in the list. The tasks will appear in the Compliance tab of every contract, as in the following example:

When a task is completed, a user with the appropriate permissions can sign-off on a checklist item. The user can also indicate a task was completed by another employee, not necessarily another Intacct user. The user can add notes and an attachment to the contract that support the compliance tasks. Users can also create custom reports containing the checklist data to assist with compliance tracking.

Sign off on a contract compliance task

  1. In the Compliance tab of a contract, select Sign off next to the desired task.

    The Contract Compliance Tasks dialog box appears.

  2. In the Completed by field, use the dropdown list to select the employee who completed the task.
  3. Use the calendar tool to select the Date on which the task was completed.
  4. If you are verifying the task as completed, select the Sign off checkbox.

    The system will display the current logged in user ID in the Sign off details column of the Checklist table after you save.

    Once you sign off on a checklist item, you can't change any sign off information for that task.
  5. Optionally, type any information regarding the task in the Comments text box.
  6. Select Save.

Task

The name of the checklist task. For example, "Review".

Description

A description of the checklist task. For example, "Manager reviewed contract".

Completed by

Use the Employee selection list to select the name of the person who completed the checklist task.

Date

Use the calendar tool to select the date on which the checklist task was completed.

Sign off

Select this checkbox to indicate the checklist task is completed.

Sign off details

Displays the last name, first name and User ID of the user who entered the checklist task sign-off information and the date the information was entered.

Comment

Type any comments regarding the checklist task in the provided text box.
