Find a journal entry

Every journal maintains a list of the transactions (or summaries of transactions) that were posted to it. If you're not sure which journal to look in a General Ledger report can help you find what you need.

Find a transaction in a journal

  1. Go to General Ledger > All and select one of the following options:
    • Journal entries
    • Statistical journal entries
    • User-defined
    • Adjusting
  2. Find the journal that contains the transaction ad select Transactions.
  3. To find a particular journal entry, use the column headings to find or sort the data.
    To sort the entries by date, select Date at the top of the Date column. If you know the reference number, enter it in the field at the top of the Reference number column, select the Filter by condition icon, and then select Apply.

  2. Find the journal that contains the transaction ad select View transactions.

  3. Optionally, if you're working in an entity, select Include top-level transactions to view transactions created at the top level for the entity.

  4. To find a particular journal entry, use the column headings to find or sort the data.
    To sort the entries by date, select Date at the top of the Date column. If you know the reference number, enter it in the field at the top of the Reference number column and select Go.

Use the General Ledger report to find journal entries

The General Ledger report lets you search for transactions based on different criteria. For example, you can enter a date range and specify which accounts the transaction might have posted to.

After you find the transaction in the General Ledger report, select any of the active links—such as the date or an amount—to view the transaction.

  1. Go to General Ledger > AllReports and select General Ledger.
  2. Narrow your search by entering the Time period or adding Filters.

    Date range

    For the Time period, enter a Start date and End date

    Accounts

    Use the options for GL account group selection to select accounts that the entry might have posted to.

    You can even pick a range of accounts. For example, if your Revenue accounts are in the 4000 range, you might limit the report to accounts from 4000 to 4100.

    Other criteria

    Enter additional filters to narrow the search further. For example, select a location or department.

  3. When you're ready, select View to display the report.

    The report groups transactions by account and sorts them by date.

  4. If you find the entry, select any of the active links to view the transaction.
If you didn't find what you were looking for, you can change your report filters and try again. Select Customize at the top of the report to get back to the filter selections.

To make it easy to locate draft and posted journal entries and other transactions, the Transactions list for each object contains a State column. This column indicates whether the entry was saved as a Draft or Posted.
