Multi-Entity company navigation

You log in by entering your company name, user ID, and password. In most cases, logging in takes you to the top level of a multi-entity shared company.

If your company is set up to work at the top level only, you’ll go directly to the top level when logging in. You will not be able to switch to an entity.

If you can access only one entity, logging in takes you directly to that entity. You can log in to the top level if your admin has selected Enable access to top level for you.

In a multi-entity shared company, you log in to the top level and can then switch to a particular entity. As you move around, you'll notice that the top level of the company and any entities you open remain available in separate browser tabs.

  • Select Top level located above the application bar.

    The entity drop-down list shows the name and ID of each entity in the company.

  • Select the required entity.

    A new browser tab opens for the selected entity.

From the top level, you can navigate to an entity. This option is available if your company is configured for working at the entity level.

You can switch to another entity as follows:

  • Menu bar: Select the drop-down list located above your menus. Select the entity you want to access.
  • Entities list: Go to Company > Setup > Entities. Find the row with the entity you want to access. Select Switch to Entity on that row.
  • Entities list on the home page: On the home page, select the entity you want to switch to from the Entities drop-down list. Select Select to switch to that entity.

Access to entities

Access to entities can be restricted on a user-by-user basis. Restricting a user by entity helps ensure that only authorized users can enter transactions and make changes. For example, an AP specialist might work with a particular entity only.

  • Unrestricted. Users who are not restricted to particular entities can log in to the top level and go to any entity.
  • Restricted to 2 or more entities. Users who are restricted to 2 or more entities can log in to the top level and access a subset of entities. They cannot switch to restricted entities, and will not see those entities in lists.
  • Restricted to a single entity without top level access. Users cannot switch to any other entities. For ease of navigation, signing in takes the user directly to that entity.
  • Restricted to a single entity with top level access. If the Enable access to top level checkbox is selected for a user, that user can access the top level even if they're restricted to a single entity. Signing in takes the user directly to the top level.
