Define billing templates

A billing template indicates what billing method to use and the percentages at which to trigger invoicing. Depending on your needs, you might use the same billing template for all line items, or you use multiple billing templates.

Defining a billing template does not prompt the system to send out an invoice.
  1. Go to Projects > Setup > More and select Add (circle) next to Billing templates.
  2. In the Template ID box, type in a unique, short, and descriptive identifier. For example, if this is a project you will bill in 2 halves, you can type in 50-50.
  3. In the Template description box, type in a longer and clearer description. For example, describe the company or types of companies that will be using this template, or the project or projects with which it will be associated.
  4. In the Billing method box, select the down arrow and then click whether you'll be billing services by percent completed or by milestone.
  5. In the Calculate on box, select the down arrow and then click whether to calculate billing on a project basis or a task basis.
    • If you select Project, the line item is invoiced based on the percent completed of the overall project.
    • If you select Task, the line item is invoiced based on the percent completed of that particular task.
  6. In the Based on box, click the down arrow and then choose whether the percent completed is based on estimated, planned, or budgeted hours, or your assessment of the percent completed (called observed percent completed).
    If you choose planned, estimated, or budgeted hours, percent completed is calculated by dividing actual hours by the number of hours you entered in the corresponding field. 
  7. In the Status box, select the down arrow and then select either Active or Inactive.
  8. In the Milestones section, specify the percentages at which you want to invoice.

    On a sales order, a milestone billing template can be associated only with line items for milestone tasks. A milestone task is a special type of task in which the Milestone option is selected. When a milestone task is completed, it appears in the Task list with a check in the Milestone column.

    Milestone billing

    • If you specify percentages, such as 50% and 100%, each milestone task is invoiced only when it reaches the specified percent completed.
    • If you leave the Milestones section blank, the milestone is billed only when it's 100% completed

    Percent completed

    • You can define a percent completed billing template for a project or for individual tasks.
    • If you specify percentages for billing, invoicing happens only when those percentages are reached
    • If you leave the Milestones section blank, invoicing happens automatically when whatever percentage has been completed. For example, if 19% of the project has been completed at the time of invoicing, 19% is invoiced.
Milestones are cumulative. For example, if you estimate that the initial analysis of a project takes 10%, construction takes 50%, and that installation takes 40%, then type 10 in the first row, 60 in the second row, and 100 in the third row.
