Print an individual document—Purchasing

You can print an individual Purchasing document from a Purchasing transaction or from a Purchasing transaction list. To print multiple documents at once, see Print or email multiple Purchasing documents.

About printing documents

Printing or emailing a posted document sets the Printed flag in the transaction History tab to Yes. If the transaction definition has its Edit policy or Delete policy set to Before printing, you will not be able to edit or delete the transaction after the Printed flag is set to Yes.

Printing a draft document has no effect on the Printed flag.

Print an individual Purchasing document

Printing a transaction creates an electronic PDF file that you can view on your computer, send as an email attachment, and so on. Use your PDF reader program to print a hard copy of the document if desired.

  1. Do one of the following:
  2. To print a hard copy, select the Print icon in the upper left of the PDF window.
  3. In the Print dialog box, select a printer and then select Print to send the file to the selected printer.

Where can I see document template assignments?

Usually only administrators with the appropriate permissions can view transaction definitions. If necessary, see your administrator for assistance.

  1. Go to Purchasing > Setup > More > Transaction definitions.

  2. Find the applicable transaction definition.
  3. Select More actionsView at the end of the row.
  4. In the Transaction Definition page, scroll down near the bottom of the page to find the Printed document template field in the Print section. If this field is blank, no document template is assigned to the selected transaction definition.
  5. For multi-entity companies only: Select the Entities tab to view any entity-specific document template assignments.

Use the Print or Email page to override the default document template.
