Field descriptions: Locations

The following table describes each item in the Location information page.

Location

Location field descriptions
Field Description

ID

Enter a unique ID for the location, as it should appear in the Locations list and other places in Intacct. After you save, the ID can't be changed.

Name

Enter the name of the location, as it should appear in the Locations list and other places in Intacct.

To specify the location name that appears on forms (such as AR sales invoices), in the Contacts section, create or select the Location contact and specify the Print As name.

Parent

If this location is a child of another location or entity, select the ID of the parent location.

This field is required in the case of top-level multi-entity companies that also use multiple base currencies. You must assign the location to a specific entity so the system knows which base currency applies to this location. For these companies, the Parent location can't be changed.

VAT Reg No

Enter the VAT registration number for this location.

  • For US companies with domestic-only business, you can enter the state VAT registration number of the location as a reference purposes. 
  • If the location tracks VAT, enter the location's VAT registration number.
SIREN

Enter the SIREN number, as needed. This field is only available for use when the Operating country is set to France.

The SIREN is a 9-digit number that identifies the company itself.

Manager

Select the contact record of the employee who manages this location.

Tip: Assigning a location manager is useful if you plan to route purchasing approvals to the location manager of the requesting employee.

Status

The default status is Active. However, if you are no longer using the location and do not want it to appear on lists, choose Inactive. This keeps the location information in your system, and suppresses it from lists without deleting it. If you want to see the inactive location later, select the Include inactive checkbox in the list of locations.

A location:

  • Can be made inactive even if the location is referred to by an employee.
  • Can be made inactive after any location transaction is complete (that's, the AP supplier invoice or AR sales invoice shows status "paid").
  • Can't be made inactive if it's referred to by a child location.

Additionally, you can set the status to Active non-posting. This prevents transactions from being posted to this location member but allows posting transactions to child members. Active non-posting is helpful with reporting.

Contacts

Location

Select or create a contact record for the location.

At a minimum:

  • Enter the Suggested Contact Name (a required field). This can be the same as the Name on the Location record.
  • In the Print As field, enter the name of the location as it appears on forms, such as AR sales invoices, AP supplier invoices, or 1099 forms.
  • On the Mailing Information tab, enter the mailing address for the location.
  • On the Additional Information tab, enter any other contact information for the location (such as the email address). Filling out this information makes it available to be dynamically included on printed document templates (such as AR sales invoices).

If you are a multi-entity shared company that issues 1099s separately for each entity, the company name comes from the Print As field. However, the address and phone number are taken from the Location Group contact (Reports > Setup > Dimension groups > Location).

Ship to

If the location uses a different address for receiving goods and services, select or create a Ship to contact record.

If you have an Avalara integration for computing sales tax, the Ship to contact is mandatory.

Reporting

Location title

Appears only if Enable department and location titles is selected on the Configure General Ledger page.

To save time, you can run a financial report or other general ledger report for a group of entities/locations or departments and have Intacct automatically split the report into multiple individual reports. In this case, the report header for the "individual report" displays the name of the department, entity, or location, plus any title text you enter here, instead of the company name.

For example, a location title might provide additional information that you want to display on reports, such as the address and manager name.

Dates of operation

Field Description

Start date

Date when the location became operational. This information is for record-keeping purposes only and is not used anywhere else in the system.

End date

Date when the location was taken out of operation. This information is for record-keeping purposes only and is not used anywhere else in the system.
