View inactives in reports
Often, you want to report across all account and dimension values regardless of whether they are active or inactive. There are two ways to set this value when running reports: at run time and by default as a user preference.
By default, reports will use the setting in User Preferences. If you prefer a different setting for an individual report, you can change the setting when you run the report.
When the report is run
-
Go to General Ledger > All > Financial reporting > Financial reports.
- Locate the report of interest and select Edit.
- Tab to Filters, and in the Define dimension filters section, enable Hide inactives to hide them, or clear the check box to include inactive dimensions.
- Make any other changes you’d like.
- Save your selection.
When you run your report, the report will run with the settings you’ve included here.
Show inactives by default
Set your user preference to allow the filter prompts to show all values regardless of whether they are set to active or inactive. By default, Display all values (including inactives) is selected. Setting this enables you to select inactive dimensions and accounts for inclusion in reports.
You can change the setting at any time, if you prefer to hide inactive values by default. This setting can still be changed per-report at run time.
- Go to your user preferences by selecting your name at the top right of any page and selecting My preferences.
- Scroll to Report filters.
- Select the way you want reports to manage inactive accounts and dimensions:
- Display all values includes all active and inactive accounts and dimensions for selection to include in the report.
- Hide inactive values shows only the accounts and dimensions that are active and doesn’t display inactive values. You will not see inactive dimensions in the selection list.
- Make any other changes you’d like.
- Save your selection.
By default, reports will use the setting here. If you prefer a different setting for an individual report, you can change the setting when you run the report.
