Process supplies requests

Supplies requests are processed by distributing items from existing stock at your location, transferring stock between warehouses for easier distribution, or ordering new stock from a supplier. You can also choose to process supplies requests individually or several at one time.

The Supplies workbench lists the requisition line items separately so that you can sort by an item. This makes it easier to process a group of items, and creating one purchase order for multiple requests of an out-of-stock item.

Depending on the availability of internal supplies, you'll use the workbench to issue currently available items or create purchase orders for items that are not currently in stock.

Issue supplies

If requested supplies are available internally, create an issue to have them sent to the requester from the storage location.

  1. Go to Inventory Control > All > Supplies Inventory > Workbench.

  2. On the Supplies workbench page, select one or more line items with Line status indicating, Available.

The Line status column indicates whether there are any request details missing, and if there's enough quantity on hand. If you're processing multiple lines at the same time, make sure there's enough stock available for all requests.
  1. At the top of the grid, select Issue. Alternatively, if you've selected only one requisition, you can select Actions at the end of the row and then select Issue.

  2. In the Supplies issue window, select Post.
    The Source column for the line changes to Issued, and the Line status column changes to Completed.

  3. To print a report listing the issued supplies, select the requisitions and then select Print.

Review and print an issue pick list

When items need to be manually selected in a warehouse, printing a pick list can help employees find requested items.

  1. Go to Inventory Control > All > Supplies Inventory > Issues.

  2. On the Inventory Control transactions page, select View beside an issue to be picked.

  3. Select Print to generate a printable PDF pick list.

  4. Review the History tab to check on the current issue status. If a pick list was generated successfully, the Header section will display the Printed status, Yes.
    In the Supplies history section, the status displays Pick list printed.

Purchase supplies from a supplier

If requested supplies are not currently available internally, create a purchase order to add more stock to your warehouse. If an item is needed immediately, you can create a direct ship purchase order to send the item directly from the supplier to the requester.

Replenish or transfer supplies inventory

You'll also use the Supplies workbench to complete additional supplies management activities:

  • When you have no in-stock items, and want to order more to keep on hand, you'll replenish stock.

  • When you have items in stock, but you need to move items to a new warehouse location for easier distribution, you'll transfer items between warehouses.
