Record and transaction data entry tips
Sage Intacct provides easy and convenient ways to help speed data entry.
Add a record or transaction
Intacct provides three quick and easy ways to add a new record or transaction:
- Select Add (circle) beside any item on the Action menu pane in the All or Setup tabs. An entry page appears for you to begin creating the required record or transaction.
- After you create a record or transaction, you can choose Save & new. The current record or transaction is saved and a blank entry page appears for you to begin creating the next record or transaction. This action is useful when you need to create multiple records or transactions.
- After you create a record or transaction, you can choose Duplicate. A new page appears with all fields duplicated from the previous record or transaction. This action is useful when you have similar records or transactions and need to change or add some more data.
Use a dropdown list
Use the following controls to quickly find, select, and add items in dropdown lists across your company.
Select an item from a dropdown list
You can use the following keyboard shortcuts to select items in a dropdown list:

Auto fill the input box. For example, if you enter Sac in a location box, Intacct displays Sacramento. If you enter San, Intacct displays a list that could include San Diego, San Francisco, San Jose, and Santa Monica. |
Add an item to a dropdown list
You can add an item to a dropdown list on the fly.
For example, if your cursor is positioned in a Customer field, and you want to add a new customer and then get on with your task, do one of the following:

Select in the dropdown field and select Add.
- Type in the customer name and Tab out of the field.
Intacct pops up an add record window that enables you to add the customer then and there.
About validation
You can't save a page that has an invalid entry. After you enter or change information in a combo box, Intacct immediately checks its validity. If the information is not valid, an alert appears.
Use the Tab key
When you first access a data entry page, your cursor is automatically found in the first field of the page. To move quickly from field to field, press Tab. To reverse the tabbing order, press Shift+Tab and your cursor moves to the previous tab.
In addition, when your cursor is positioned in the last field of a multi-tab page, and you press Tab, your cursor moves to the first field of the next tab. This saves you the effort of selecting to open the next tab.
About autofill
In certain fields, Intacct autofills the record from the prior record you entered. Thus, you can use the autofilled data to quickly create a new record and then change that data to suit the current transaction.
Enter dates
When you set a date format in your personal preferences, Intacct displays that format for all dates.
If you enter a date using a different format, Intacct re-formats the date to the one set in your preferences. For example, if you set your date format as mm/dd/yy, then enter "Dec 17, 2025" and tab out of the field, Intacct immediately displays the date as 12/17/2025. You can change your date format at any time. For example, if you want a particular date format to print a single report, change it in your settings, then print the report.

Examples: Today's date is July 26, 2025. In the following scenarios, you want to enter a date with the same day and year, but change the month to 8 for August (you can change the day or year in a similar fashion): |

Perform simple calculations using arithmetic operators
You can perform simple calculations in most numeric fields. When an arithmetic operator is used, Intacct displays a list of your entries. The calculator supports a 10-key numeric pad.
Use the following keys in numerical fields to perform simple calculations:
