Manage instances list—Consoles

The Instances list is for administrators only. Non-administrative staff members access their assigned instances from the My instances list.

The Instances list displays instances. From the list, you can do the following:

  • Create an instance company.

  • Assign staff to specific instances.

  • Slide directly in to an instance's Intacct accounting system.

Read-only fields

When you select the flat view, you can select an underlined header to sort the list by that column header. Double-click to sort the list in descending order. You can also filter the list to a subset by entering the appropriate text in the filter field.

Field Description

Company ID

The ID of the instance. You cannot change this field.

When you select the tree view, the Company ID field shows a graphical representation of the hierarchical structure of your companies.

Company name

The name of the instance. You cannot change this field.

Entity ID

The ID of the entity. Displays entities that are subordinate to a multi-entity shared instance.

When you select the flat view, the Entity ID field appears. If there are no entities, this column is blank.

Entity name

The name of the entity. Displays entities that are subordinate to a multi-entity shared instance.

If there are no entities, this column is blank.

Company type

Displays one of the following options:

  • Sales demo: Long-term use demo companies, often created for specific industries. Create sales demo companies with your own data. Or submit a support case to create a copy of an existing sales demo company. A best practice is to cancel sales demo companies that you no longer use. This type of tenant does not expire, and there is no charge.
  • Production: A paid tenant under contract that contains live, operational data used by an Intacct customer. A production company cannot become a demo company.

State

Track the creation process of your instances.

Displays the following options:

  • Ready. The instance is ready to use.

  • In progress. The instance is in the creation process.

  • Failed. The creation of the instance is unsuccessful.

The description of the instance.

Field Description

Flat view, Tree view

Select to switch between the flat and hierarchical views of your structure of companies.

The hierarchical view reveals the full structure of your organization of companies and allows you to slide in to any level within that structure.

Add

Select to display the Setup wizard, which allows you to create a new instance company.

Edit

Select to display the Edit Instance page.

From the Edit Instance page, you can update the description and the Accountant's footer. If the instance company does not have a template applied, you can setup the instance from a template.

You do not see Edit links for subsidiaries and entities.

Edit assignments

Select to display the Assign Users page, where you can assign or remove staff from the instance.

If your company chose the console permissions control method, Intacct creates a homologue user in the lower-level company when you assign a user to that instance. Alternatively, if a user slides in before being assigned to an instance, Intacct automatically assigns the user to that instance.

Automatic login

Switch to Instance. If you have access to a company, the Automatic login field displays "Switch to Instance." Select this link to slide directly in to that instance company. To return to the console, select the browser tab.

Disabled by Instance. If a company disabled your access to the instance, the Automatic login field displays "Disabled by Instance." The company controls your external access to its instance. If you cannot slide in to the instance, the company might have changed your access privileges. Contact the company and request that your access is enabled.
