Reassign contract line dimensions

Change the dimensions on in-progress contract lines as of a specified date, without affecting past transactions. Transactions going forward use the updated dimensions for accurate reporting. You can reassign dimensions at the contract header or contract line level.

Use this option to correct mistakes or adjust for changes in your organization. For example, reassign dimensions if you chose the wrong department, added a new one, or need to remove one that’s no longer in use.

In the following cases, you can edit the contract line directly to change the dimensions. Reassignment is not applicable.
  • The contract is in the Draft state

  • The contract has no posted transactions

  • The contract line's billing method is Project materials

  • The contract line's billing method is Project time and materials

Dimensions eligible for reassignment

You can reassign the following dimensions:

  • Class

  • Department

  • Employee

  • Project

  • Task

  • Vendor

Reassigning user-defined dimensions is not supported at this time.

You cannot reassign project or task dimensions in the following scenarios:

  • When the contract line's billing or revenue template is project or task-based and there are posted schedules.

  • When the contract line's billing method is Project time and there are posted schedules.

Contract lines eligible for dimension reassignment

You can reassign dimensions on contract lines that are in progress and have posted transactions.

Reassignment is not supported for the following contract lines:

  • Contract lines in the Canceled, Renewed, or Not renewed states

  • Evergreen contract lines

  • Kit or kit component contract lines

  • Contract lines that are part of an MEA allocation

  • Contract lines with historical entries in an unposted state

How reassignment impacts transactions

When you reassign dimensions, Intacct creates an event to move the entire unbilled balance from the old dimensions to the new dimensions. This event appears on the Transaction history tab of both the contract line and the contract. All the past billed and paid transactions keep the original dimensions.

Additionally, if you delete an invoice the unbilled amount is updated with the new dimensions.

Restrictions after reassignment

After a reassignment occurs, the following restrictions apply:

  • You cannot create invoices with dates earlier than the most recent reassignment date.

  • You cannot cancel a contract line before the most recent reassignment date.

  • You cannot create an MEA before the most recent reassignment date.

If you make a mistake when reassigning dimensions, you can revert the most recent reassignment.

Reassign dimensions at the contract line level

You can reassign dimensions at the contract line level to update dimensions for a single line.

  1. Go to Contracts > AllContract lines.
  2. Find the contract line that you want to update.

  3. Select Edit.
  4. Select More actionsReassign dimensions.
  5. Select a Reassignment date.

  6. Optionally, add a Reassignment memo.
  7. Change one or more dimensions.

    Clearing a dimension value removes it from the contract line.

  8. Select Save.

Reassign dimensions at the contract header level

You can reassign dimensions for multiple contract lines at once from the contract header.

When you reassign at the contract header level, you can add or change dimensions, but you cannot clear them.

  1. Go to Contracts > AllContracts.
  2. Find the contract containing the lines that you want to update.

  3. Select Edit.
  4. Select More actionsReassign dimensions.
  5. Select a Reassignment date.

  6. Optionally, add a Reassignment memo
  7. Change one or more dimensions.

    At the header level, you can add or change dimensions, but you cannot clear them.

  8. Select the contract lines that you want to apply the changes to.

    Only lines that are eligible for reassignment appear in the list.

  9. Select Save.
