Intacct mass synchronization tool

Intacct provides several tools in Salesforce that help you fix record sync errors and manage tasks for movement from the CRM Integration to the Advanced CRM Integration.

Object mass sync

When you need to sync a large number of records to Intacct, you can use the Object mass sync tool in Salesforce. This tool is intended for use in the following situations:

  • After the packages have been installed, configured, and a large number of new records need to be synced.
  • After updates have been made to a large number of records.
  • If you have a large number of records with sync errors, this tool allows you to try the sync again.

The mass sync tool syncs data for:

  • Accounts
  • Contacts
  • Contracts
  • Usage
  • Opportunities
  • Intacct Journal Entries

How to use the Object mass sync tool:

  1. Log in to Salesforce as an administrator.
  2. Go to the Intacct mass synchronization tab.
  3. Select the Object mass sync tab.
  4. Select the object that you want to sync from the dropdown menu. For example, Account.
  5. Filter the records associated with the object that you selected. You can filter in the following ways.

    FilterOptions
    Default filtersYou can select multiple default filters. The operator between the default filters is AND.
    • Has sync with Intacct checked
    • Is synced successfully
    • Has sync errors
    Custom filtersTo create a custom filter:
    1. Select Add filter.
    2. Select a field to filter on from the dropdown menu.
    3. Select an operator.
    4. Enter a value, or leave blank to find empty values.
    You can use more than one custom filter. The operator between the custom filters can be AND or OR. This operator applies only to the custom filters.
    Default and Custom filtersWhen combining default filters and custom filters, default filters continue to use AND as the operator. When custom filters are added, you can select AND or OR as the operator.
  6. Select Start Sync Process.
  7. A confirmation dialogue opens, showing the number of records to be synced based on the filters you selected.
    • Select Yes to start the synchronization.
    • Select No to adjust your filters.

Order Entry transaction sync

When you need to sync a large number of Order Entry historical transactions to Intacct from Salesforce Accounts, you can use the Order Entry transaction sync tool in Salesforce.

This tool is intended for use in the following situations:

  • Migrating users from the CRM Integration to the Advanced CRM Integration.
  • If you have a large number of records with sync errors, this tool allows you to try the sync again.
  • New implementations of the Advanced CRM Integration that need historical data synced.

The Order Entry transaction sync tool only syncs data for Order Entry transactions.

This sync process only applies to the custom objects installed by the Intacct Advanced CRM Integration package. The custom objects sync from Intacct to Salesforce, such as sales invoices or payment details. Standard Salesforce objects, such as accounts, products, or opportunities, are not updated by this sync process.

How to use the Order Entry transaction sync tool:

  1. Log in to Salesforce as an administrator.
  2. Go to the Intacct mass synchronization tab.
  3. Select the Order Entry transaction sync tab.
  4. Set the following.

    Account filters

    FieldSelect the Account field that you want to sync from the dropdown menu.
    Operator

    Select an operator for your field:

    • Equals
    • Not equals to
    • Contains
    • Does not contain
    • Start with
    ValueEnter a value, or leave blank to find empty values.

    Used to add another Account filter to your transaction sync. The operator between the custom filters can be AND or OR.

    Logic

    You can use more than one Account filter. The operator between the filters can be AND or OR.

    Transaction filters

    Select transaction definitionsSelect the type of transaction definition to sync. Depending on the Account field you selected, the following types of transaction definitions are available:
    • Contract Invoice
    • Sales Invoice
    • Sales Order
    • Sales Quote
    You can select more than one transaction definition to sync.
  5. Select Start Sync Transactions.
  6. A confirmation dialogue opens, showing the number of transaction definitions to be synced based on the fields and filters you applied.
    • Select Yes to start the synchronization.
    • Select No to adjust your fields and filters.
Transactions synced in this process run offline and can take time to complete. You will receive an email when the sync is completed.

Troubleshoot Order Entry transaction sync

Intacct recommends breaking large syncs into smaller portions, for example selecting fewer customers to sync at a time. Smaller sized syncs help avoid running into any limits Intacct might have when processing the records. Smaller sized syncs also create smaller batches of records to troubleshoot if an error is encountered.

Contract transaction sync

When you need to sync a large number of contracts or contract lines from Intacct, you can use the Contract transaction sync tool in Salesforce. You can choose all accounts, or specific accounts, to sync historical transactions in an offline process.

This tool is intended for use in the following situations:

  • Migrating users from the CRM Integration to the Advanced CRM Integration.
  • If you have a large number of records with sync errors, this tool allows you to try the sync again.
  • New implementations of the Advanced CRM Integration that need historical data synced.

Salesforce Contract Mass Create

When you need to sync a large number of contracts or contract lines from Intacct, you can use the Contract transaction sync tool in Salesforce. You can choose all accounts, or specific accounts, to sync historical transactions in an offline process.

How to use the Salesforce Contract Mass Create sync tool:

  1. Log in to Salesforce as an administrator.
  2. Go to the Intacct mass synchronization tab.
  3. Select the SFDC contract mass create tab.
  4. Set the following.
