Restrict reconciliation in a multi-entity company
Limit who can reconcile and transact against an account in a multi-entity company. Follow the steps below to enable restrictions in your company for bank reconciliations. Only users with Admin privileges can set up restrictions.
Notes
-
To reconcile a restricted bank account, you must have restrictions that are equivalent to, or greater than, the restrictions on the account.
-
Reconcile the account in the same entity in which it was created.
-
To prevent users at the top level from viewing reconciliation histories, including outstanding items, for an account based on their entity location restrictions, configure Cash Management to Enable user entity restrictions for bank accounts.
Enable restrictions in your multi-entity company
- At the top level of your company, go to Company > Admin > Subscriptions.
- Next to Multi-Entity Management select Configure.
- Under Entity restrictions, select Current accounts, Savings accounts, or both depending on your requirements.
- Select Save.
Restrict entity access to the bank account
Select the entities that can transact against the account.
-
Go to Cash Management > Setup > Accounts > Current or Savings.
- Find the appropriate account.
-
Select More actions > Edit at the end of the row.
- On the Restrictions tab, select Restricted.
- Select Add or Edit and move the appropriate locations from the Available items pane to the Selected items pane.
-
Select Save.
-
Go to Cash Management > Setup > Accounts > Current or Savings.
- Find the appropriate account and select Edit.
- On the Restrictions tab, select Restricted.
- Select Add or Edit and move the appropriate locations from the Available items pane to the Selected items pane.
-
Select Save.
Restrict user access to the same entities
Restrict users to the same entities as the entities defined in step 2. To reconcile the account, user restrictions must be equivalent to or greater than the restrictions defined on the account record.
Say a current account is restricted to Entity A and Entity B. To reconcile the account, a user needs to be restricted to both Entity A and Entity B. If the user is only restricted to Entity A and not Entity B, they cannot reconcile the account. If the user is restricted to Entity A, Entity B, and other entities, they can reconcile Entity A and Entity B.
-
Go to Company > Admin > Users, roles, and groups > Users.
- Find the user and select Edit.
- On the User entities tab, select the appropriate entities.
-
Select Save.
- Enter your password to verify your identity then select Done.
-
Select Save.
Grant permissions to reconcile
A user with equivalent entity restrictions and reconciliation permissions can reconcile a restricted bank account. Users with appropriate permissions can reconcile an account created within the entity to which the user is restricted.
-
Go to Company > Admin > Users, roles, and groups > Users.
- Find the appropriate user and select Subscriptions.
- Select Cash Management, if it is not already selected, and select Permissions.
- Find Reconcile bank or Reconcile credit card and grant permissions for reconciliation.
To match transactions, grant permissions for List, View, and Add. To reconcile the account, user permission to Reconcile.
