Preview a contract line's billing schedule

You can change a contract line's billing data and instantly see the expected billing in a preview billing schedule. This lets you experiment with different billing options without affecting any saved billing schedule.

For termed contracts, the preview billing schedule shows when a contract line's Flat/fixed amount is expected to be invoiced during the contract term.

For evergreen contracts, the preview billing schedule shows the amount for the current recurring billing period.

Preview a billing schedule when adding a contract line

  1. Do one of the following:
    • Open an existing contract in Edit mode. Select Add located above the top-left corner of the Contract lines grid. The Contract Line popup window appears.
    • Go to Contracts > All > Contracts and select Add (circle) next to Lines. In the Contract Line page, use the Contract dropdown list to select the desired contract.

      Intacct populates the page with default information from the selected contract.

  2. Enter the desired data in the minimum required fields:
    • Item
    • GL posting date
    • Billing method (must be Fixed price or Quantity based with Quantity type = Variable)
    • Flat/fixed amount
    • Flat/fixed amount frequency: The following table lists additional fields required by each Flat/Fixed amount frequency option:

  3. Select the View schedule link.

    The Preview billing schedule opens.

  4. When you're finished viewing the preview billing schedule, close the window.
  5. Optionally, change contract line fields as desired and repeat steps 3 and 4.
  6. When you're happy with the billing schedule, post or save the contract line as draft to save the billing schedule.

Preview a billing schedule when editing a contract line

You can preview the billing schedule for Draft or In progress contract lines.

  1. Open an existing contract in Edit mode and select the pencil icon next to the contract line you want to edit.
  2. In the Contract line popup window, change the contract line data as desired.
  3. Select the View schedule link.

    The Preview billing schedule opens and displays a message alerting you that you are viewing a preview billing schedule and that you need to save the contract line in order to save the changed billing schedule.

  4. When you're finished viewing the preview billing schedule, close the window.
  5. Optionally, change contract line fields as desired and repeat steps 3 and 4.
  6. Do one of the following:
    • Post or save the contract line as draft to save the changed billing schedule.
    • Select Cancel to discard the changes and keep the previously saved billing schedule.

Field Description
Contract

The contract ID associated with the billing schedule. Select the link to display the contract.

Template

The name of the billing template used by the schedule. Select the link to display the billing template definition.

This field is blank if the schedule was not generated using a billing template.

This field is not applicable to evergreen contracts.

Amount

For termed contracts: The total schedule amount to bill for the contract line.

For evergreen contracts: The amount to bill for the recurring billing period.

Base amount

The total schedule amount expressed in your company's base currency.

This field is only applicable to multi-currency companies.

Start date

For termed contracts: The billing schedule start date. This date reflects the internal billing schedule start date, which is either the billing template start date or the contract line start date minus any bill-in-advance period.

For evergreen contracts: This date is equal to the contract line start date.

End date

For termed contracts: The billing schedule end date.

For evergreen contracts: The recurring billing period end date.

Scheduled billing date

The date the scheduled amount is expected to be invoiced.

Amount

The amount scheduled to be invoiced on the corresponding Scheduled billing date.

Base amount

The amount expressed in your company's base currency.

This field is only applicable to multi-currency companies.

Exchange rate

The exchange rate in effect on the contract line start date. This rate is not used for billing but is provided for information only. Learn more about exchange rates used for invoices.

Computation memo

For termed contracts: If the GL posting date is different than the internal billing schedule start date, Intacct may schedule one or more billing amounts to be posted on the GL posting date.

The "system generated scheduled date <date>" is the date that would have been used for the corresponding billing amount if the GL posting date was not different than the internal billing schedule start date.

Dates displayed in this field use YYYY/MM/DD format.

For evergreen contracts: This field will be blank.

Service period start date

Indicates the beginning of the time frame during which your business’s services are provided or consumed for this billing entry. Learn more about service periods.

The preview shows default dates, which you can edit later.

Indicates the end of the time frame during which your business’s services are provided or consumed for this billing entry. Learn more about service periods.
