Customize out-of-the-box task templates for Close Workspace

Close Automation comes with several system-generated task templates, such as Review unposted bills, Prepare AP reconciliation, and Close AP. These tasks are available is Close Assistant is enabled.

To have Intacct correctly calculate the target start and completion dates for these tasks, you'll need to enter some information into the template. You can also add an attachment to the template, that will always be available when a task is created from the template.

Set up the system-generated templates in advance so that you do not have to update the individual tasks for each close.

  1. Go to Close Workspace > Setup > Templates for Close Workspace > Task templates.
  2. Find the system-generated task in the list.
  3. Select Edit.
  4. Enter the number of days before the period end date that Copilot will use to calculate the Target start date. This date appears in tasks as the start date.

    The date calculation may include all calendar days or only business days. This is based on the Days to consider selection on the Configure Close Workspace page:

    • Select Use company schedule to use the weekly schedule set up on the Company information page. If you select this option, your designated weekends and holidays are not considered in the date calculations.

      So, for example, a task due date will not fall on a designated holiday, and weekend days are not counted when calculating a task's start date and due date.

      This selection is dependent on the weekly and holiday schedules set up on the Schedules tab on the Company information page. Make sure that those schedules are up to date if you select this option.

    • Select Use all calendar days to factor all days into the date calculation. If you select this option, all days are considered in the date calculations. Weekend days and holidays are treated like any other day when calculating dates.

  5. Enter the number of days before or after the period-end date that Copilot will use to calculate the Target completion date. This date appears in tasks as the due date.

  6. Update the Description if needed.

    The description appears in the checklist.

  7. Leave the Status set to active if you plan to use the task.

  8. Optionally, add an Attachment.

    For example, you can attach instructions on how to complete the task. To create a new attachment, select the down arrow and then select Add.

  9. Select Save.
